• Introduction to SAQA and the National Qualifications Framework (NQF).
• Core principles of ethical and efficient legal office administration.
• The business structure of a legal practice (sole proprietorship, partnership, incorporated).
• Key challenges and trends in modern legal practice management.
• Course orientation, outcomes, and assessment criteria.

Day 2: Client Relationship and Matter Management Systems

Objectives:
• Apply procedures for the ethical onboarding and engagement of new clients.
• Implement systems for opening, managing, and closing legal matters or files.
• Utilise conflict of interest checks and client confidentiality protocols.
• Develop skills for maintaining professional client communication and service standards.

Topics:
• Client intake procedures, including FICA and mandate requirements.
• File creation, numbering, and indexing systems (manual and digital).
• Conflict of interest identification and management protocols.
• Principles of attorney-client privilege and confidentiality (POPIA considerations).
• Matter planning, budgeting, and scope management.
• Diarisation and deadline management systems.

Day 3: Financial Administration and Trust Accounting Compliance

Objectives:
• Distinguish between business and trust accounts as per Legal Practice Council rules.
• Execute procedures for processing fees, disbursements, and trust monies.
• Prepare and interpret basic financial records for a legal practice.
• Identify key compliance requirements for trust accounting to avoid malpractice.

• The Legal Practice Act requirements for trust accounts.
• Processing receipts, payments, and electronic fund transfers.
• Invoicing, fee notes, and payment arrangements with clients.
• Maintaining trust accounting records: cashbooks, ledgers, and reconciliations.
• Management of unclaimed trust monies.
• Introduction to accounting software used in legal practices.

Day 4: Document Management, Control, and Filing Systems

Objectives:
• Design and implement efficient physical and electronic document management systems.
• Apply protocols for the drafting, formatting, and proofreading of legal documents.
• Manage document version control, storage, retrieval, and archiving.
• Ensure compliance with document retention and destruction policies.

Topics:
• Principles of effective filing systems (alphabetic, numeric, subject).
• Drafting and formatting standard legal correspondence and documents.
• Electronic Document Management Systems (EDMS) and cloud storage.
• Document naming conventions, version control, and metadata.
• Records management: retention schedules and secure destruction.
• Backup procedures and disaster recovery planning for documents.

Day 5: Human Resources and Office Administration

Objectives:
• Outline basic HR processes relevant to a legal office environment.
• Manage office resources, supplies, and vendor relationships effectively.
• Apply principles of workplace health, safety, and security.
• Facilitate effective internal communication and team coordination.

• Staff roles in a legal practice: attorneys, candidate attorneys, paralegals, secretaries.
• Basic performance management and professional development.
• Office logistics: equipment, supplies, and maintenance.
• Workplace policies: code of conduct, IT use, and leave management.
• Office security: physical access, data protection, and incident reporting.
• Organising meetings, managing calendars, and coordinating workflows.

Day 6: Information Technology and Practice Management Software

Objectives:
• Evaluate the role of technology in enhancing legal practice efficiency and compliance.
• Operate core features of legal practice management software.
• Apply cybersecurity best practices to protect client and firm data.
• Utilise digital tools for research, communication, and time management.

Topics:
• Overview of legal-specific software: practice management, timekeeping, billing.
• Data security: firewalls, encryption, password policies, and POPIA compliance.
• Effective use of email, videoconferencing, and digital collaboration tools.
• Online legal research platforms and resources.
• Digital time recording and activity management.
• Managing software updates, licenses, and IT support.

Day 7: Risk Management, Compliance, and Professional Ethics

Objectives:
• Identify common professional risks and liabilities in legal practice management.
• Develop strategies for mitigating malpractice risks and ensuring compliance.
• Apply the Code of Conduct for attorneys to administrative scenarios.
• Prepare for and manage inspections or audits by the Legal Practice Council.

Topics:
• Professional negligence, malpractice avoidance, and professional indemnity insurance.
• Compliance monitoring: trust account audits, FICA, and tax obligations (SARS).
• The Code of Conduct: specific rules relevant to administration and client care.
• Handling complaints from clients or the public.
• Risk assessment frameworks and internal control systems.
• Continuing Professional Development (CPD) requirements for support staff.

Day 8: Integration, Strategic Planning, and Course Consolidation

Objectives:
• Synthesise course concepts to develop a holistic office practice management plan.
• Apply knowledge to solve complex, integrated case studies.
• Formulate strategies for continuous improvement and quality assurance.
• Prepare for final assessment and reflect on personal learning outcomes.

Topics:
• Developing a standard operating procedures (SOP) manual for a legal practice.
• Integrated case study: managing a client matter from intake to finalisation.
• Quality assurance: benchmarking, client feedback, and process improvement.
• Strategic planning for a legal office: setting goals and measuring performance.
• Course review and synthesis of key learning points.
• Final assessment preparation and submission of portfolio of evidence.

This course is made up of exercises and case studies delivered alongside the theory — no separate practical sessions are required to complete it.

Summatives

Each delegate is assessed continuously throughout the course and a final summative test at the end.

Daily Exercises — 30%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 30% to the final total.

Final Test — 70%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 70% to the overall mark.

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Daily Average 30% + Final Test 70%).
