Description

This course equips learners with the competencies required to administer the image acquisition process, from planning and setup through to quality assurance and archiving. It covers the technical, procedural and administrative aspects of capturing digital images in a corporate or production environment.

Learning Outcomes

  • Plan and prepare for image acquisition, including selecting appropriate equipment and configuring settings for specific document types.
  • Implement image capture procedures to ensure consistent quality, correct resolution and appropriate file formats.
  • Apply quality control checks to verify image integrity, legibility and compliance with organisational standards.
  • Manage image file naming, metadata entry and storage according to records management protocols.
  • Troubleshoot common image acquisition issues such as poor lighting, skewed scans or file corruption.
  • Archive and backup acquired images in accordance with data retention and security policies.

Target Audience

This course is intended for individuals who are responsible for or involved in the capture, processing and management of digital images, such as document imaging technicians, records management officers and administrative staff in digitisation projects.

Course Outline

Day 1: Introduction to Image Acquisition and Quality Management

Objectives:
• Understand the fundamentals of image acquisition processes
• Identify key quality management principles in imaging
• Explain the role of administration in image acquisition
• Recognize relevant SAQA unit standards and regulations

Topics:
• Overview of image acquisition modalities (X-ray, MRI, CT, Ultrasound)
• Basic physics of image formation
• Quality management systems in healthcare imaging
• Regulatory framework: SAQA, HPCSA, and relevant legislation
• Roles and responsibilities of imaging personnel
• Introduction to patient administration in imaging departments

Day 2: Patient Preparation and Safety Protocols

Objectives:
• Apply patient preparation procedures for various imaging modalities
• Implement safety protocols including radiation protection
• Manage patient documentation and consent forms
• Identify contraindications and special considerations

Topics:
• Patient identification and verification processes
• Pre-imaging preparation: fasting, contrast media, and clothing
• Radiation safety principles (ALARA, time, distance, shielding)
• Pregnancy screening and safety protocols
• Consent forms and patient information sheets
• Handling special populations (paediatric, geriatric, emergency)

Day 3: Image Acquisition Workflow and Scheduling

Objectives:
• Design efficient scheduling systems for imaging procedures
• Manage patient flow from referral to image capture
• Utilize health information systems for appointment management
• Troubleshoot common workflow issues

• Referral management and vetting processes
• Appointment scheduling: prioritization and resource allocation
• Patient check-in and registration procedures
• Workflow integration with RIS and PACS
• Managing walk-ins and emergencies
• Handling cancellations and rescheduling

Day 4: Data Management and Image Archiving

Objectives:
• Explain the principles of digital image management
• Operate PACS for image storage and retrieval
• Ensure data integrity and confidentiality
• Apply backup and disaster recovery procedures

• Digital Imaging and Communications in Medicine (DICOM) standards
• Picture Archiving and Communication Systems (PACS) basics
• Image storage: short-term vs long-term archiving
• Data security: access controls, encryption, and audit trails
• Backup strategies and disaster recovery planning
• Managing patient data in compliance with POPIA

Day 5: Quality Assurance and Quality Control in Imaging

Objectives:
• Implement quality assurance programs for imaging equipment
• Perform basic quality control tests
• Document and report quality issues
• Understand accreditation requirements

Topics:
• Quality assurance vs quality control definitions
• Daily, weekly, and monthly QC tests for common modalities
• Equipment calibration and preventive maintenance
• Image quality metrics: resolution, contrast, noise
• Incident reporting and corrective actions
• Accreditation standards (e.g., ISO, SANAS)

Day 6: Advanced Applications and Specialized Procedures

Objectives:
• Manage complex imaging procedures (contrast studies, interventional)
• Coordinate multidisciplinary imaging teams
• Apply advanced safety protocols for specialized modalities
• Handle adverse events and emergencies

Topics:
• Contrast media administration: types, routes, and monitoring
• Interventional radiology workflow and sterile techniques
• MRI safety: ferromagnetic screening and zone management
• Nuclear medicine and PET/CT administration
• Managing adverse reactions to contrast
• Emergency preparedness in imaging suites

Day 7: Integration, Audit, and Continuous Improvement

Objectives:
• Conduct internal audits of image acquisition processes
• Analyze workflow data for process improvement
• Develop a quality improvement plan
• Demonstrate competency in administrative procedures

• Audit methodologies for imaging departments
• Key performance indicators (KPIs) in imaging
• Root cause analysis of errors and near misses
• Continuous quality improvement (CQI) cycles
• Change management and staff training
• Final assessment and course wrap-up

Practicals

Overview

Hands-on practicals are essential for learners to apply administrative and quality control procedures in simulated or real imaging environments. These sessions reinforce theoretical knowledge through direct experience with patient scheduling systems, PACS, QC tests, and safety protocols.

Practical Activities
  • Practical 1: Patient Scheduling and Registration — Learners use a simulated RIS to schedule patients, manage appointments, and process registrations, including handling walk-ins and emergencies. (4h)
  • Practical 2: PACS Image Archiving and Retrieval — Learners practice storing, retrieving, and anonymizing images in a PACS environment, ensuring data integrity and security. (6h)
  • Practical 3: Quality Control Tests for Imaging Equipment — Learners perform daily and weekly QC tests on a phantom for X-ray and CT, documenting results and identifying deviations. (6h)
  • Practical 4: Simulated Contrast Media Administration and Emergency Response — Learners role-play patient preparation for contrast studies, including checking consent and managing a simulated adverse reaction. (4h)
  • Practical 5: Internal Audit and Process Improvement — Learners conduct a mock audit of a sample imaging workflow, identify non-conformances, and propose corrective actions. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
