Description

This course equips learners with the skills to schedule and plan publishing project activities effectively. Participants will learn to sequence tasks, allocate resources, and monitor progress to ensure timely delivery of publishing projects.

Course Outline

Day 1: Introduction to Publishing Project Scheduling

Objectives:
• Understand the role of scheduling in publishing projects
• Identify key phases of a publishing project lifecycle
• Recognize the importance of activity planning for project success
• Define common scheduling terminology

• Overview of publishing project management
• Project lifecycle: concept to delivery
• Importance of scheduling and activity planning
• Key terminology: milestones, dependencies, critical path
• Introduction to scheduling tools and software

Day 2: Work Breakdown Structure and Activity Definition

Objectives:
• Create a Work Breakdown Structure (WBS) for a publishing project
• Define activities and tasks accurately
• Break down complex publishing processes into manageable activities
• Apply decomposition techniques

Topics:
• Work Breakdown Structure principles
• Creating a WBS for publishing projects
• Activity definition and decomposition
• Task identification for editorial, design, production, and distribution
• Practical exercise: develop a WBS for a sample project

Day 3: Sequencing and Dependency Management

Objectives:
• Sequence activities logically using network diagrams
• Identify and manage dependencies between tasks
• Apply precedence diagramming methods
• Understand lead and lag times

• Activity sequencing methods
• Types of dependencies: finish-to-start, start-to-start, etc.
• Network diagramming (AOA and AON)
• Lead and lag in publishing schedules
• Exercise: create a network diagram for a book publication

Day 4: Resource Estimation and Allocation

Objectives:
• Estimate resources required for publishing activities
• Allocate resources effectively to avoid overallocation
• Understand resource leveling techniques
• Manage resource constraints in publishing projects

• Resource types: human, equipment, materials
• Estimating techniques: expert judgment, analogous, parametric
• Resource allocation and assignment
• Resource leveling and smoothing
• Case study: resource planning for a magazine issue

Day 5: Duration Estimation and Schedule Development

Objectives:
• Estimate activity durations using various techniques
• Develop a project schedule using critical path method
• Calculate float and identify critical path
• Create Gantt charts for publishing projects

• Critical Path Method (CPM) calculations
• Float (slack) and its significance
• Gantt chart creation and interpretation
• Practical: develop a schedule for a publishing project

Day 6: Schedule Monitoring and Control

Objectives:
• Monitor schedule performance using key metrics
• Implement schedule control techniques
• Manage schedule changes and deviations
• Use earned value management for schedule analysis

Topics:
• Schedule baseline and performance measurement
• Variance analysis and corrective actions
• Change control in scheduling
• Earned Value Management (EVM) basics
• Reporting schedule status to stakeholders

Day 7: Advanced Scheduling and Integration

Objectives:
• Apply advanced scheduling techniques (e.g., crashing, fast-tracking)
• Integrate scheduling with other project management processes
• Use software tools for scheduling (e.g., MS Project, Smartsheet)
• Develop a comprehensive project schedule for a real-world scenario

• Schedule compression techniques
• Integration with risk, cost, and quality management
• Software tools: hands-on practice
• Final project: create a complete schedule for a publishing project
• Review and best practices

Practicals

Overview

Hands-on practicals enable learners to apply scheduling concepts to real-world publishing scenarios. Using project management software, learners will create WBS, network diagrams, Gantt charts, and full schedules, reinforcing theoretical knowledge through supervised practice.

Practical Activities
  • Practical 1: Work Breakdown Structure Development — Learners develop a WBS for a sample book publishing project, breaking down phases into manageable tasks. (4h)
  • Practical 2: Network Diagram and Critical Path Analysis — Using a case study, learners sequence activities and determine the critical path using manual and software methods. (5h)
  • Practical 3: Resource Allocation and Leveling — Learners allocate resources to activities and perform resource leveling to resolve conflicts in a publishing schedule. (4h)
  • Practical 4: Gantt Chart and Schedule Creation — Using MS Project or similar software, learners create a Gantt chart and full schedule for a magazine publication. (4h)
  • Practical 5: Comprehensive Schedule Development — Learners develop a complete schedule for a real-world publishing project from start to finish, integrating all previous skills. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
