This course equips participants with the skills and knowledge required to effectively manage a music database in a radio station environment. Learners will gain competence in selecting, cataloguing, and maintaining music libraries to support broadcasting schedules and ensure compliance with industry standards.

Course Outline

Day 1: Introduction to Music Database Management

Objectives:
• Understand the role of music database management in radio station operations.
• Identify key components of a music database.
• Describe the relationship between music scheduling and database accuracy.

• Overview of radio station workflows.
• Importance of music metadata.
• Introduction to database software (e.g., MusicMaster, Selector).
• Basic database terminology: fields, records, tables.

Day 2: Music Metadata Standards and Entry

Objectives:
• Apply standard metadata fields (title, artist, album, genre, etc.).
• Enter metadata accurately into the database.
• Understand the importance of consistent data formatting.

Topics:
• Common metadata fields in radio databases.
• Data entry best practices.
• Handling special characters and spelling.
• Importing metadata from external sources.

Day 3: Categorisation and Genre Classification

Objectives:
• Classify music into genres and subgenres.
• Create and manage category lists.
• Understand how categorisation affects scheduling.

Topics:
• Genre taxonomy for radio.
• Subgenre and mood tags.
• Creating custom categories for station format.
• Using categories to filter song lists.

Day 4: Song Scheduling Rules and Rotation

Objectives:
• Define rotation rules for different dayparts.
• Set minimum and maximum rotation intervals.
• Apply scheduling rules to ensure playlist diversity.

Topics:
• Basics of music scheduling logic.
• Rotation rules: daypart, time since last play.
• Avoiding over-rotation and clustering.
• Introduction to scheduling engines.

Day 5: Managing Music Libraries and Importing

Objectives:
• Import new music into the database.
• Manage library sizes and prune unused tracks.
• Handle digital audio files and metadata integration.

Topics:
• Importing from CD, digital files, and aggregators.
• File naming conventions.
• Library auditing: identifying duplicates.
• Storage management and backup strategies.

Day 6: Querying and Reporting

Objectives:
• Generate reports on music usage and rotation.
• Query the database to find specific tracks.
• Analyse report data for decision-making.

• Basic query techniques (filters, sorts).
• Common reports: most played, least played, genre breakdown.
• Exporting reports for analysis.
• Using reports to identify gaps in library.

Day 7: Advanced Scheduling Techniques

Objectives:
• Implement complex rotation rules (e.g., power rotation, gold).
• Schedule for special features (e.g., throwbacks, themed hours).
• Use clockwheel and hour templates.

Topics:
• Clockwheel design for different dayparts.
• Setting up power rotations.
• Incorporating listener requests and dedications.
• Handling special events and promotions.

Day 8: Database Maintenance and Integrity

Objectives:
• Perform regular database maintenance tasks.
• Ensure data integrity through validation.
• Troubleshoot common database issues.

Topics:
• Data validation rules.
• Cleaning up orphan records.
• Database backup and restore procedures.
• Error handling: duplicate entries, missing metadata.

Day 9: Integration with Automation Systems

Objectives:
• Connect music database to automation software.
• Understand data exchange formats (e.g., XML, CSV).
• Troubleshoot integration issues.

Topics:
• Overview of automation systems (e.g., RCS, WideOrbit).
• Exporting schedules to automation.
• Real-time updates between database and automation.
• Common integration pitfalls.

Day 10: Legal and Compliance Considerations

Objectives:
• Understand copyright and licensing requirements.
• Manage metadata for royalty reporting.
• Ensure compliance with broadcasting regulations.

• SAMRO and other royalty collection agencies.
• Metadata requirements for reporting.
• Managing licensed and unlicensed music.
• Compliance with local content quotas.

Day 11: Advanced Library Management and Analytics

Objectives:
• Use analytics to optimise library composition.
• Implement strategies for music testing and research.
• Manage multiple formats or stations.

Topics:
• Music testing methods (callout, auditorium).
• Analysing listener data to refine library.
• Managing libraries for multiple stations.
• Predictive scheduling based on trends.

Day 12: Final Project and Practical Integration

Objectives:
• Apply all skills in a simulated radio station environment.
• Create a complete music schedule for one week.
• Present and justify scheduling decisions.

Topics:
• Capstone project: build a library and schedule.
• Peer review and feedback.
• Troubleshooting real-world scenarios.
• Course review and certification preparation.

Practicals

This course is made up of exercises and case studies delivered alongside the theory — no separate practical sessions are required to complete it.

Summatives

Each delegate is assessed continuously throughout the course and a final summative test at the end.

Daily Exercises — 30%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 30% to the final total.

Final Test — 70%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 70% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Daily Average 30% + Final Test 70%).
