Description

This course equips learners with the knowledge and skills to effectively manage volunteers within extension projects and events. It covers the entire volunteer lifecycle from recruitment and selection through to recognition and retention, ensuring volunteers contribute meaningfully to project objectives. Learners will understand how to create a supportive environment that fosters volunteer motivation and commitment.

Target Audience

This course is designed for project coordinators, event managers, community development officers, and anyone responsible for overseeing volunteers in extension projects or events within corporate, non-profit, or public sectors.

Prerequisites

None — open enrollment. However, learners should have basic communication skills and an interest in working with volunteers.

Course Outline

Day 1: Foundations of Volunteer Management

Objectives:
• Understand the role and value of volunteers in extension projects and events
• Identify key principles of volunteer management
• Describe the volunteer lifecycle from recruitment to recognition
• Outline legal and ethical considerations for volunteer engagement

Topics:
• Introduction to volunteer management in extension and events
• Volunteer lifecycle: planning, recruitment, selection, orientation, supervision, retention, recognition
• Volunteer roles and responsibilities
• Legal framework: labour laws, insurance, duty of care
• Ethical considerations: confidentiality, diversity, inclusion

Day 2: Recruitment, Selection, and Training of Volunteers

Objectives:
• Develop a volunteer recruitment strategy tailored to project needs
• Apply selection criteria and interview techniques
• Design an orientation and training programme for volunteers
• Create role descriptions and codes of conduct

Topics:
• Recruitment planning: identifying needs, target groups, and channels
• Selection process: applications, interviews, reference checks
• Orientation: welcome packs, site tours, policy briefings
• Training: skills development, role-specific training, safety procedures
• Role descriptions: tasks, expectations, boundaries
• Code of conduct: standards of behaviour, disciplinary procedures

Day 3: Supervision, Motivation, and Recognition of Volunteers

Objectives:
• Implement effective supervision and communication strategies
• Apply motivation theories to sustain volunteer engagement
• Plan recognition and reward initiatives
• Evaluate volunteer performance and manage challenges
• Develop a volunteer management plan for a real or simulated project

Topics:
• Supervision: check-ins, feedback, conflict resolution
• Communication: meetings, newsletters, digital tools
• Motivation: intrinsic and extrinsic factors, team building
• Recognition: certificates, awards, public acknowledgment
• Performance evaluation: metrics, feedback loops
• Managing challenges: turnover, burnout, disciplinary issues
• Creating a volunteer management plan: integration of all day topics

Overview

Practical sessions allow learners to apply volunteer management concepts in realistic scenarios. Through role-plays, case studies, and planning exercises, learners develop hands-on skills in recruitment, training, supervision, and recognition of volunteers.

Practical Activities
  • Volunteer Recruitment and Selection Role-Play — Learners conduct a mock volunteer recruitment drive, including developing a job advertisement, screening applications, and performing interviews. (2h)
  • Designing an Orientation and Training Session — In groups, learners design a 30-minute orientation session and a short training module for a specific volunteer role, then present it to peers. (2h)
  • Supervision and Motivation Case Study — Learners analyse a case study involving volunteer supervision challenges and develop a motivation and recognition plan to address them. (2h)
  • Volunteer Management Plan Development — Individually or in pairs, learners create a comprehensive volunteer management plan for a real or simulated extension project or event, covering all lifecycle stages. (3h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).

  • If you scored under 50% you can sit the final test again at the next scheduled session at no extra cost.
