Course Outline

Day 1: Foundations of Microfinance Administration

Objectives:
• Understand the regulatory and operational framework for microfinance in South Africa
• Identify key administrative procedures for loan origination and client onboarding
• Apply principles of client due diligence and documentation management
• Recognise the role of the National Credit Act and other relevant legislation

Topics:
• Overview of the microfinance sector and its regulatory environment
• Core administrative procedures: client registration, loan application, and file management
• Documentation requirements: identity verification, proof of income, and credit checks
• Introduction to the National Credit Act and its implications for microfinance
• Data protection and confidentiality in client records
• Internal controls and audit trails for loan processing
• Ethical considerations in microfinance administration

Day 2: Loan Processing and Portfolio Management

Objectives:
• Execute loan disbursement and repayment procedures accurately
• Manage loan portfolio records and monitor repayment schedules
• Apply procedures for handling arrears and collections
• Prepare basic management reports on loan performance

Topics:
• Step-by-step loan disbursement process: verification, approval, and fund release
• Repayment tracking systems: schedules, receipts, and reconciliations
• Arrears management: early warning indicators, communication protocols, and follow-up procedures
• Loan restructuring and write-off procedures
• Portfolio reporting: key metrics and report generation
• Use of technology (e.g., core banking systems) in loan administration
• Compliance with reporting requirements to regulators and funders

Day 3: Advanced Administration and Practical Integration

Objectives:
• Apply procedures for internal audits and risk management in microfinance
• Handle client complaints and dispute resolution within administrative frameworks
• Integrate administrative processes with broader business operations
• Demonstrate proficiency in end-to-end administrative workflows through case studies

Topics:
• Internal audit procedures: sampling, verification, and corrective actions
• Risk management: identifying operational risks and implementing controls
• Client complaint handling: logging, investigation, and resolution
• Administrative support for product development and marketing
• Integration with finance, HR, and branch operations
• Case study: end-to-end administration of a microfinance loan
• Review and assessment of administrative system improvements

Overview

Practical sessions allow learners to apply administrative procedures in simulated microfinance scenarios. Learners will practice client onboarding, loan processing, arrears management, and internal audit tasks using sample documents and a training banking system.

Practical Activities
  • Client Onboarding and Documentation — Learners complete a client registration process, including verification of ID documents, proof of income, and credit check forms, and create a client file. (3h)
  • Loan Disbursement and Repayment Tracking — Using a simulated banking system, learners process a loan disbursement, record repayment transactions, and generate a repayment schedule. (3h)
  • Arrears Management and Reporting — Learners identify accounts in arrears, initiate follow-up procedures (calls, letters), and prepare a portfolio-at-risk report. (2h)
  • Internal Audit and Compliance Check — Learners perform a sample internal audit on a set of client files, checking for compliance with policies and regulatory requirements, and report findings. (2h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
