This course equips learners with the knowledge and skills to effectively maintain and develop a collection of library and information resources. It covers the principles of collection management, including selection, acquisition, evaluation, and preservation of materials in various formats. Participants will learn to apply policies and procedures to ensure the collection meets the needs of users and aligns with organisational objectives.

Target Audience

Library assistants, information officers, records managers, and anyone responsible for managing or developing a library or information resource collection. This course is ideal for individuals seeking to enhance their competence in collection maintenance and development within a library or information centre.

Prerequisites

None — open enrollment. However, basic computer literacy and familiarity with library environments are recommended.

Course Outline

Day 1: Foundations of Collection Management

Objectives:
• Understand the purpose and scope of collection management in libraries and information centres.
• Identify the key components of a collection management policy.
• Recognise the role of collection management in supporting organisational and user needs.
• Distinguish between collection management and collection development.

Topics:
• Introduction to collection management: definitions and importance
• The collection management cycle: planning, selection, acquisition, evaluation, deselection
• Elements of a collection management policy
• Stakeholders and user needs analysis
• Ethics and legal considerations in collection management

Day 2: Selection and Acquisition Processes

Objectives:
• Apply criteria for selecting materials in different formats.
• Understand acquisition methods and workflows.
• Evaluate suppliers and licensing agreements.
• Manage budgets and financial planning for collections.

Topics:
• Selection criteria: relevance, authority, currency, cost, format
• Selection tools: reviews, bibliographies, approval plans
• Acquisition methods: purchase, subscription, donation, exchange
• Supplier evaluation and negotiations
• Budgeting and financial control
• Licensing and copyright issues

Day 3: Collection Evaluation and Assessment

Objectives:
• Use quantitative and qualitative methods to evaluate collections.
• Conduct user surveys and usage studies.
• Analyse collection data to inform decisions.
• Identify gaps and overlaps in the collection.

Topics:
• Evaluation techniques: collection mapping, circulation analysis, citation analysis
• User studies: surveys, focus groups, interviews
• Performance metrics: turnover rate, fill rate, cost per use
• Conspectus methodology
• Benchmarking against standards and peer institutions

Day 4: Preservation, Weeding, and Deselection

Objectives:
• Apply preservation principles to extend the life of materials.
• Develop weeding criteria and procedures.
• Execute deselection in accordance with policy.
• Manage digital preservation challenges.

• Preservation: environmental control, handling, repair, binding
• Weeding criteria: CREW/MUSTIE methods
• Deselection procedures and documentation
• Disposal methods: sale, donation, recycling
• Digital preservation: formats, migration, emulation
• Disaster planning for collections

Day 5: Strategic Collection Management and Future Trends

Objectives:
• Integrate collection management with overall library strategy.
• Develop a collection management plan.
• Address emerging trends: open access, e-resources, collaborative collection development.
• Evaluate and revise collection management policies.

Topics:
• Strategic alignment with organisational goals
• Collection management plan development
• Open access and institutional repositories
• Collaborative collection development: consortia, shared storage
• E-resource management and licensing trends
• Assessment and revision of collection policies
• Future challenges: budget constraints, user expectations, technology

Practicals

16 hours of practicals To be conducted online or on-campus or in-house
Overview

Practical sessions allow learners to apply theoretical knowledge to real-world scenarios. Learners will analyse sample collections, create acquisition plans, perform weeding exercises, and develop a mini collection management policy.

Practical Activities
  • Collection Policy Analysis — Learners review and critique an existing collection management policy, identifying strengths and gaps. (4h)
  • Selection and Acquisition Simulation — Given a budget and user profile, learners select materials and complete a mock acquisition order. (4h)
  • Collection Evaluation Exercise — Learners use provided circulation data and a sample collection to perform a usage analysis and identify gaps. (4h)
  • Weeding and Preservation Workshop — Learners physically inspect a sample collection, apply weeding criteria, and recommend preservation actions. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
