Course Outline

Day 1: Introduction to Pharmaceutical Stock Management

Objectives:
• Understand the importance of effective stock management in pharmaceutical supply chains
• Identify key stakeholders and their roles in stock ordering and reconciliation
• Explain basic inventory control principles
• Recognise regulatory requirements and standards for pharmaceutical stock
• Describe the consequences of poor stock management

• Overview of pharmaceutical supply chain
• Roles and responsibilities: pharmacist, storekeeper, procurement officer
• Principles of inventory management: FIFO, FEFO, stock rotation
• Regulatory framework: SAHPRA, Good Pharmacy Practice (GPP)
• Consequences of stock-outs, overstocking, and expiry
• Introduction to stock records and documentation

Day 2: Stock Ordering Processes

Objectives:
• Determine stock requirements based on usage patterns and lead times
• Calculate reorder levels, safety stock, and economic order quantities
• Complete purchase orders accurately
• Apply vendor selection criteria and evaluate supplier performance
• Understand procurement policies and ethical considerations

• Demand forecasting methods for pharmaceuticals
• Calculating reorder points and order quantities
• Purchase order creation and approval workflows
• Supplier assessment and vendor management
• Ethical procurement and conflict of interest
• Order placement: manual vs. electronic systems
• Handling urgent orders and backorders

Day 3: Receiving and Storage of Pharmaceutical Stock

Objectives:
• Inspect incoming stock for quantity, quality, and expiry dates
• Apply correct storage conditions (temperature, light, humidity)
• Update stock records and bin cards accurately
• Identify and handle discrepancies during receipt
• Understand cold chain management requirements

• Receiving procedures: check against delivery note and purchase order
• Quality checks: packaging, labelling, expiry dates
• Storage requirements: temperature monitoring, segregation of high-risk items
• Cold chain: refrigerated and frozen items
• Documentation: goods received notes, stock cards
• Discrepancy handling: short deliveries, damages, overages
• Stock rotation and bin location management

Day 4: Stock Reconciliation and Inventory Audits

Objectives:
• Perform periodic stock counts (cycle counts and full inventory)
• Reconcile physical stock with system records
• Investigate and resolve discrepancies
• Prepare reconciliation reports and variance analysis
• Apply corrective actions for stock losses

Topics:
• Types of stock audits: cycle counting, annual stocktake
• Reconciliation process: compare physical count to ledger
• Common causes of discrepancies: theft, expiry, data entry errors
• Variance analysis and reporting
• Write-offs and adjustments
• Audit trails and documentation requirements
• Use of technology: barcode scanners, inventory software

Day 5: Advanced Applications and Integration

Objectives:
• Analyse stock performance using key metrics (turnover, fill rate)
• Develop strategies to reduce waste and improve efficiency
• Integrate ordering and reconciliation processes into quality management
• Apply continuous improvement principles
• Prepare a stock management improvement plan

• Key performance indicators: stock turnover, days on hand, fill rate
• Root cause analysis of stock issues
• Lean inventory management: just-in-time, waste reduction
• Quality management systems and SOPs
• Integration with financial management and budgeting
• Change management for process improvements

Practicals

Overview

Hands-on practicals are essential to develop competence in stock ordering, receiving, and reconciliation tasks. Learners will practice using simulated stock records, perform physical counts, and reconcile discrepancies under supervision.

Practical Activities
  • Stock Ordering Simulation — Learners use sample consumption data to calculate reorder levels, complete purchase orders, and select appropriate vendors. (4h)
  • Receiving and Inspection Exercise — Simulate receiving a delivery: inspect items for damage, verify quantities, check expiry dates, and record in stock cards. (4h)
  • Stock Count and Reconciliation — Conduct a physical count of a sample stock section, compare to system records, investigate variances, and complete reconciliation report. (4h)
  • Integrated Scenario: Order to Reconciliation — Work through a complete cycle: forecast demand, place order, receive stock, update records, and conduct a final reconciliation. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.
