Course Outline

Day 1: Foundations of Business Information Flow

Objectives:
• Explain the concept of business information flow and its importance in organisational decision-making.
• Identify the key components of an information system (data, process, people, technology).
• Describe the role of information flow control in ensuring data integrity and security.
• Recognise common information flow challenges within a business context.

Topics:
• Introduction to business information flow: definition, examples, and value.
• Components of information systems: data, hardware, software, procedures, and people.
• Information flow control principles: confidentiality, integrity, availability.
• Common information flow issues: bottlenecks, redundancy, and security risks.
• Overview of regulatory frameworks (e.g., POPIA, King IV) relevant to information flow.

Day 2: Mapping and Analysing Information Flows

Objectives:
• Create process maps to visualise current information flows within a department.
• Analyse information flow diagrams to identify inefficiencies and risks.
• Apply techniques such as swimlane diagrams and data flow diagrams.
• Use root cause analysis to pinpoint flow problems.

Topics:
• Process mapping techniques: flowcharts, swimlane diagrams, and data flow diagrams.
• Steps to map an information flow: scope, inputs, outputs, decision points.
• Analysis methods: gap analysis, bottleneck identification, and risk assessment.
• Case study: mapping a typical procurement or order-to-cash process.
• Tools for documentation: spreadsheets, diagramming software, and templates.

Day 3: Designing Controls for Information Flow

Objectives:
• Design appropriate controls to manage information flow at each stage.
• Differentiate between preventive, detective, and corrective controls.
• Implement segregation of duties to reduce fraud risk.
• Develop policies and procedures to support information flow governance.

Topics:
• Types of controls: preventive (access controls), detective (audit logs), corrective (backups).
• Segregation of duties: concept and application in information flow.
• Designing authorisation matrices and approval workflows.
• Policy development: data classification, retention, and disposal.
• Practical exercise: create a control matrix for a sample process.

Day 4: Technology and Automation in Information Flow Control

Objectives:
• Evaluate technology solutions that automate and secure information flows.
• Configure basic workflow automation rules in a business application.
• Implement monitoring tools to track information flow in real time.
• Understand the role of APIs and integration in seamless data exchange.

Topics:
• Workflow automation tools: examples (e.g., Microsoft Power Automate, SAP BPM).
• Setting up approval workflows with conditional routing.
• Monitoring and logging: dashboards, alerts, and exception reports.
• Integration basics: APIs, middleware, and data transformation.
• Security considerations: encryption, authentication, and access tokens.

Day 5: Implementation, Audit, and Continuous Improvement

Objectives:
• Plan the implementation of information flow controls in a business unit.
• Conduct a basic audit of an existing information flow process.
• Develop a continuous improvement plan using metrics and feedback.
• Present findings and recommendations to stakeholders.

Topics:
• Implementation roadmap: stakeholder engagement, change management, training.
• Auditing information flows: checklists, sampling, and reporting.
• Key performance indicators (KPIs) for information flow efficiency.
• Continuous improvement: PDCA cycle, root cause analysis, and feedback loops.
• Final group presentation: case study solution and recommendations.

Overview

Practical sessions are integral to this course as they enable learners to apply information flow mapping, control design, and workflow automation in simulated business scenarios. Through hands-on exercises, learners gain confidence in using tools and techniques to improve real-world information flows.

Practical Activities
  • Process Mapping Exercise — Learners map a current information flow (e.g., leave approval or purchase requisition) using swimlane diagrams and identify bottlenecks. (4h)
  • Control Design Workshop — Using the mapped process, learners design preventive, detective, and corrective controls and create an authorisation matrix. (4h)
  • Workflow Automation Simulation — Learners configure a simple approval workflow in a low-code platform (e.g., Power Automate or a sandbox ERP) and test it. (4h)
  • Audit and Improvement Plan — Learners audit a sample information flow against a checklist, then propose a continuous improvement plan. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
