Description

This course equips learners with the skills to effectively allocate stock to stores, ensuring optimal inventory levels and minimizing stockouts or overstocking. Participants will learn to analyze demand patterns, apply allocation methodologies, and document decisions in line with organizational policies.

Course Outline

Day 1: Introduction to Stock Allocation Principles

Objectives:
• Understand the purpose and importance of stock allocation to stores
• Identify key stakeholders and their roles in the allocation process
• Explain the relationship between stock allocation and inventory management
• Recognise relevant legislation and standards (e.g., SAQA unit standard 252252)
• Outline the course structure and assessment requirements

• Overview of stock allocation and its role in supply chain management
• Key terminology: allocation, replenishment, stock levels, lead time
• Stakeholders: buyers, store managers, warehouse staff, logistics
• Legal and regulatory framework (OHSA, basic conditions of employment)
• Introduction to inventory management principles
• Course outcomes and assessment criteria

Day 2: Demand Forecasting and Stock Requirements

Objectives:
• Differentiate between types of demand (dependent vs independent)
• Apply basic forecasting methods to estimate stock requirements
• Calculate reorder points and safety stock levels
• Analyse historical sales data to identify trends
• Understand the impact of seasonality and promotions on demand

Topics:
• Demand patterns: constant, trend, seasonal, irregular
• Forecasting techniques: moving average, exponential smoothing
• Reorder point calculation (ROP = lead time demand + safety stock)
• Safety stock determination based on service level and variability
• Using historical data and spreadsheets for analysis
• Adjusting forecasts for special events and promotions

Day 3: Inventory Classification and Segmentation

Objectives:
• Apply ABC analysis to classify inventory items
• Use XYZ analysis to categorise demand variability
• Combine ABC-XYZ matrix for prioritised allocation
• Understand the role of stock categories (raw materials, WIP, finished goods)
• Implement cycle counting and inventory accuracy checks

• ABC analysis based on value (80/20 rule)
• XYZ analysis based on demand variability
• ABC-XYZ matrix: strategies for each category
• Inventory categories in retail and distribution
• Cycle counting principles and frequency
• Measuring and improving inventory accuracy

Day 4: Allocation Methods and Techniques

Objectives:
• Compare different allocation methods (fair share, priority-based, etc.)
• Determine allocation quantities using manual and automated methods
• Allocate stock across multiple stores considering constraints
• Apply allocation rules for new product launches and promotions
• Evaluate the impact of allocation decisions on service levels

Topics:
• Allocation methods: fair share, proportional, priority-based, need-based
• Allocation factors: store demand, capacity, lead time, shelf space
• Manual allocation using spreadsheets
• Automated allocation in ERP/WMS systems
• Allocation for new products, promotions, and end-of-life items
• Balancing service level and inventory investment

Day 5: Systems and Technology for Stock Allocation

Objectives:
• Identify key features of inventory management software
• Use an ERP system to perform allocation transactions
• Understand the role of barcodes, RFID, and scanning in allocation
• Interpret system-generated reports for allocation decisions
• Troubleshoot common system issues in allocation

Topics:
• Overview of ERP and WMS modules for allocation
• Performing allocation in a simulated ERP environment
• Barcode and RFID technology for tracking stock
• Generating and analysing allocation reports
• Data integrity and system accuracy
• Common system errors and resolution steps

Day 6: Monitoring and Adjusting Allocations

Objectives:
• Monitor stock levels and allocation effectiveness using KPIs
• Identify and resolve stock imbalances and over/under allocation
• Adjust allocations based on feedback and changing conditions
• Conduct root cause analysis for allocation errors
• Document and communicate allocation decisions

• Key performance indicators: fill rate, stockout rate, turnover ratio
• Identifying allocation issues: overstock, stockouts, slow movers
• Corrective actions: rebalancing, expediting, returns
• Root cause analysis techniques (5 Whys, fishbone diagram)
• Reporting and documentation best practices
• Communication with stores and suppliers

Day 7: Integration, Review, and Assessment

Objectives:
• Integrate all course concepts into a comprehensive allocation plan
• Present and defend allocation strategies for a case study
• Participate in a simulated allocation exercise
• Complete the formal assessment for unit standard 252252
• Reflect on learning and create an action plan for workplace application

Overview

The practicals component provides hands-on experience with allocation methods, inventory analysis, and system usage. Learners will apply forecasting, ABC analysis, and allocation techniques using spreadsheets and a simulated ERP system, ensuring they can perform allocation tasks confidently in a real workplace.

Practical Activities
  • Practical 1: Demand Forecasting and Reorder Point Calculation — Learners use historical sales data to calculate moving averages, safety stock, and reorder points for a set of products. (4h)
  • Practical 2: ABC-XYZ Analysis and Inventory Segmentation — Learners classify inventory items using ABC and XYZ analysis, then develop allocation strategies for each segment. (4h)
  • Practical 3: Manual Allocation Using Spreadsheets — Learners allocate stock to multiple stores using fair share and priority-based methods, considering constraints like store capacity and demand. (6h)
  • Practical 4: Simulated ERP Allocation — Learners use a simulated ERP system to perform allocation transactions, generate reports, and troubleshoot common issues. (6h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
