Description

This course equips learners with the skills to effectively coordinate the closure phase of simple to moderately complex projects. Participants will learn to finalise project activities, hand over deliverables, and document lessons learned to ensure successful project completion and organisational learning.

Course Outline

Day 1: Foundations of Project Closure

Objectives:
• Understand the purpose and importance of project closure. • Identify key activities in the closure phase for simple to moderate projects. • Distinguish between administrative and technical closure. • Recognize common challenges during project closure.

Topics:
• Overview of project life cycle and closure phase. • Definition of project closure coordination. • Key closure activities: deliverables handover, financial closure, documentation. • Administrative vs. technical closure. • Common closure pitfalls and how to avoid them.

Day 2: Closure Planning and Documentation

Objectives:
• Develop a project closure plan. • Identify required closure documentation. • Understand the role of stakeholder sign-off. • Learn to conduct a final project review.

Topics:
• Elements of a closure plan. • Types of closure documents: final reports, lessons learned, handover documents. • Stakeholder sign-off process. • Conducting a final project review meeting. • Documenting lessons learned.

Day 3: Financial and Contractual Closure

Objectives:
• Perform financial closure activities. • Understand contractual obligations at project end. • Manage final payments and supplier close-out. • Ensure compliance with organizational policies.

Topics:
• Financial closure: final invoices, cost reconciliation, budget variance analysis. • Contractual closure: verifying deliverables, warranty periods, release of retention. • Supplier and subcontractor close-out. • Compliance and audit requirements. • Archiving financial records.

Day 4: Handover and Transition Management

Objectives:
• Plan and execute a smooth handover to operations or client. • Manage transition of resources and knowledge. • Communicate effectively with stakeholders during closure. • Use checklists to ensure completeness.

Topics:
• Handover process: acceptance testing, training, operational readiness. • Transition of assets, documentation, and knowledge. • Communication plan for closure phase. • Closure checklists and templates. • Post-project support arrangements.

Day 5: Integration and Final Assessment

Objectives:
• Integrate all closure activities into a cohesive process. • Apply closure coordination to a case study. • Prepare a final project closure report. • Demonstrate competence through assessment.

Topics:
• Case study: coordinating closure for a simple project. • Simulated closure activities: sign-off, lessons learned, handover. • Preparing a comprehensive closure report. • Review of unit standard outcomes. • Final assessment (written and practical).

Overview

Practical sessions allow learners to apply project closure coordination skills in simulated environments. They reinforce theoretical knowledge through hands-on activities such as completing closure documents, conducting handover meetings, and performing financial reconciliation.

Practical Activities
  • Practical 1: Closure Plan Development — Learners develop a project closure plan for a given scenario, including timelines, documentation, and stakeholder sign-off. (4h)
  • Practical 2: Financial Closure Exercise — Learners reconcile project budgets, process final invoices, and complete financial closure checklists using sample data. (4h)
  • Practical 3: Handover Simulation — Learners role-play a handover meeting, transferring deliverables and documentation to the client or operations team. (4h)
  • Practical 4: Lessons Learned Workshop — Learners facilitate a lessons learned session, capture findings, and produce a lessons learned report. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
