Course Outline

Day 1: Fundamentals of Direct Mail Production

Objectives:
• Understand the direct mail production workflow
• Identify key roles and responsibilities in the production process
• Recognise different types of direct mail formats and materials
• Apply basic data handling principles for mailing lists
• Ensure compliance with relevant postal regulations

Topics:
• Overview of direct mail as a marketing channel
• The direct mail production lifecycle: from concept to mailbox
• Key stakeholders: clients, designers, printers, mail houses
• Types of direct mail: letters, self-mailers, postcards, catalogues
• Materials and formats: paper stocks, envelopes, windows
• Introduction to mailing lists: data sources, hygiene, and segmentation
• Postal regulations and requirements in South Africa
• Quality control basics and error prevention

Day 2: Production Processes and Practical Application

Objectives:
• Analyse and optimise mailing lists for production
• Execute data processing steps including merge/purge and personalisation
• Apply variable data printing (VDP) techniques
• Implement print production workflows for direct mail
• Conduct quality assurance checks on printed materials

Topics:
• Advanced data processing: merge/purge, address standardisation, NCOA
• Personalisation and variable data printing (VDP) strategies
• Print production methods: offset, digital, and hybrid
• Finishing processes: folding, inserting, sealing, and tabbing
• Addressing and barcoding for automated sorting
• Quality assurance: proofing, sampling, and defect identification
• Cost management and production scheduling
• Case study: walkthrough of a typical direct mail project

Day 3: Implementation, Project Management, and Evaluation

Objectives:
• Plan and manage a direct mail production project from start to finish
• Coordinate with suppliers and internal teams effectively
• Evaluate campaign performance using response metrics
• Troubleshoot common production issues
• Develop a continuous improvement plan for future campaigns

• Project management frameworks for direct mail campaigns
• Supplier selection and management: printers, mail houses, data providers
• Testing and tracking: response analysis, A/B testing, ROI calculation
• Handling exceptions: address corrections, undeliverables, and returns
• Environmental considerations and sustainable practices
• Compliance and data protection (POPIA) in direct mail
• Post-campaign evaluation and lessons learned
• Final project: design and present a complete direct mail production plan

Overview

Practical sessions are integral to this course, allowing learners to apply theoretical knowledge in a simulated production environment. Learners will work with real mailing lists, set up variable data print files, and run quality assurance checks on sample mail pieces.

Practical Activities
  • Data Processing and List Hygiene — Learners clean and prepare a sample mailing list using data processing software, performing deduplication, address standardisation, and segmentation. (3h)
  • Variable Data Printing Setup — Learners create a variable data print job by linking a data source to a template, personalising text and images for each recipient. (3h)
  • Print Production and Finishing Simulation — Learners simulate the print and finishing process using sample materials, performing folding, inserting, and sealing operations. (2h)
  • Quality Assurance and Campaign Evaluation — Learners conduct a quality check on produced mail pieces and analyse response data from a simulated campaign to calculate ROI. (2h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
