Description

This course equips learners with the skills to prepare, structure, and manage project documents effectively. Participants will learn to draft clear project charters, scope statements, schedules, and risk registers that align with organisational standards. The focus is on producing documents that support project planning, execution, and control within a South African corporate context.

Learning Outcomes

  • Apply project document templates and organisational standards to create consistent documentation.
  • Analyze project requirements to determine the appropriate documents needed for each phase.
  • Draft a project charter and scope statement that clearly define project objectives and boundaries.
  • Design a project schedule and risk register using industry-recognised formats.
  • Evaluate completed documents for completeness, accuracy, and alignment with project goals.
  • Implement version control and document management procedures to ensure traceability.

Target Audience

Project administrators, coordinators, junior project managers, and team members who are responsible for creating or maintaining project documentation. It is also suitable for professionals transitioning into project management roles.

Prerequisites

None — open enrollment. Basic computer literacy and familiarity with Microsoft Office (Word, Excel) are recommended.

Course Outline

Day 1: Foundations of Project Documentation

Objectives:
• Understand the purpose and importance of project documentation in the project lifecycle.
• Identify different types of project documents and their uses.
• Apply principles of document structure and layout.
• Demonstrate basic skills in drafting clear and concise project documents.

Topics:
• Role of documentation in project management
• Overview of key project documents: scope statement, project charter, WBS, schedule, budget, risk register
• Principles of effective business writing: clarity, conciseness, accuracy
• Document structure: headings, numbering, tables, and appendices
• Version control and document naming conventions
• Introduction to templates and checklists

Day 2: Developing Core Project Documents

Objectives:
• Draft a project charter and scope statement.
• Create a basic Work Breakdown Structure (WBS).
• Develop a project schedule and resource plan.
• Write a risk management plan and communication plan.

Topics:
• Project charter: components and drafting guidelines
• Scope statement: defining deliverables and boundaries
• Work Breakdown Structure: decomposition techniques and numbering
• Schedule development: Gantt charts and milestones
• Resource planning: roles, responsibilities, and resource calendars
• Risk management plan: identification, assessment, and response strategies
• Communication plan: stakeholders, frequency, and channels

Day 3: Finalisation, Review, and Integration

Objectives:
• Review and revise project documents for quality and completeness.
• Integrate multiple documents into a coherent project plan.
• Apply document approval and sign-off procedures.
• Demonstrate ability to present documentation to stakeholders.

Topics:
• Quality assurance: peer review, consistency checks, and gap analysis
• Document integration: linking scope, schedule, budget, and risks
• Approval workflows: signatures, version finalisation, and distribution
• Presentation skills: summarising key points for stakeholders
• Document management systems and filing
• Practical exercise: complete a project documentation package

Practicals

8 hours of practicals To be conducted online or on-campus or in-house
Overview

Practical sessions reinforce drafting skills through hands-on exercises. Learners work individually and in groups to create, review, and finalise project documents using templates and case studies.

Practical Activities
  • Practical 1: Drafting a Project Charter — Using a case study, learners draft a project charter including business case, scope, objectives, and key stakeholders. (2h)
  • Practical 2: Building a Work Breakdown Structure — Learners decompose a project into work packages and create a hierarchical WBS with numbering. (2h)
  • Practical 3: Developing a Project Schedule and Budget — Using the WBS, learners create a Gantt chart and a simple budget spreadsheet. (2h)
  • Practical 4: Document Review and Presentation — Learners peer-review each other's documents against a checklist and present their project plan to the group. (2h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).

  • Each certificate is a branded PDF with the delegate's name, the course title, the unit standard ID, NQF level, credits, and the date of issue.
  • You can download or print your certificate from your LMS dashboard at any time after issue — there's no reissue fee and no expiry date.
  • If you scored under 50% you can sit the final test again at the next scheduled session at no extra cost.
