Description

This course equips pharmacist assistants with the competencies required to issue prescribed medicines to patients in compliance with South African pharmacy legislation and ethical standards. It covers the interpretation of prescriptions, patient counselling, and accurate dispensing procedures to ensure safe and effective medicine use.

Course Outline

Day 1: Introduction to Pharmacy Practice and Legal Framework

Objectives:
• Understand the scope of practice for pharmacist assistants in South Africa.
• Identify key legislation governing medicine issuing.
• Recognise the roles and responsibilities of a pharmacist assistant.
• Describe the layout and workflow of a community or hospital pharmacy.

Topics:
• Overview of the pharmacy profession and team roles.
• Introduction to the Medicines and Related Substances Act (Act 101 of 1965).
• Good Pharmacy Practice (GPP) standards.
• Ethical considerations in pharmacy.
• Pharmacy layout, stock areas, and workflow.
• Documentation and record keeping basics.

Day 2: Pharmaceutical Terminology and Drug Classification

Objectives:
• Define common pharmaceutical terms.
• Classify medicines according to Schedules 1–6.
• Differentiate between prescription-only and over-the-counter medicines.
• Understand the concept of generic vs. brand names.

Topics:
• Pharmaceutical abbreviations and symbols.
• Drug nomenclature: generic, brand, and chemical names.
• Scheduling of medicines in South Africa.
• Schedule 0, 1, 2, 3, 4, 5, and 6: examples and restrictions.
• Legal requirements for each schedule.
• Reading and interpreting medicine labels.

Day 3: Prescription Processing and Validation

Objectives:
• Interpret a prescription accurately.
• Check prescription validity and completeness.
• Identify common errors in prescriptions.
• Apply legal requirements for prescription handling.

Topics:
• Parts of a prescription: patient details, prescriber, medicine, directions, repeats.
• Legal requirements for a valid prescription.
• Checking for drug interactions, allergies, and contraindications.
• Handling illegible or incomplete prescriptions.
• Electronic vs. paper prescriptions.
• Prescription filing and storage.

Day 4: Medicine Preparation and Labeling

Objectives:
• Prepare medicines for dispensing accurately.
• Apply appropriate labeling requirements.
• Use correct packaging and auxiliary labels.
• Ensure patient safety through proper labeling.

Topics:
• Dispensing process: selection, counting, pouring, packing.
• Label content: patient name, medicine name, dosage, directions, warnings.
• Auxiliary labels: “shake well”, “refrigerate”, “may cause drowsiness”.
• Child-resistant packaging.
• Expiry date checking and rotation.
• Special packaging for controlled substances.

Day 5: Controlled Substances and Special Medicines

Objectives:
• Identify controlled substances and their legal requirements.
• Maintain accurate controlled substance registers.
• Handle Schedule 5 and 6 medicines correctly.
• Understand storage and security for controlled drugs.

Topics:
• Definition and examples of controlled substances.
• Legal requirements for ordering, receiving, storing, and dispensing.
• Controlled substance register: entries and balance checks.
• Security measures: locked cabinets, access control.
• Disposal of expired or unwanted controlled substances.
• Reporting theft or loss.

Day 6: Patient Counseling and Communication

Objectives:
• Communicate effectively with patients and healthcare professionals.
• Provide appropriate medicine information and advice.
• Handle patient queries and concerns.
• Recognise when to refer to a pharmacist.

Topics:
• Communication skills: active listening, empathy, clear language.
• Counseling on dosage, side effects, and storage.
• Use of patient information leaflets.
• Managing difficult conversations.
• Cultural sensitivity and language barriers.
• Referral protocols for pharmacist intervention.

Day 7: Over-the-Counter (OTC) Medicines and Self-Care

Objectives:
• Advise on OTC medicines for minor ailments.
• Understand the role of pharmacist assistants in self-care.
• Recognise red flags requiring referral.
• Apply protocols for OTC sales.

Topics:
• Common OTC categories: analgesics, antacids, cold remedies, etc.
• Protocols for recommending OTC medicines.
• Red flags: symptoms requiring medical attention.
• Contraindications and interactions with prescription medicines.
• Record keeping for OTC sales.
• Promoting responsible self-care.

Day 8: Inventory Management and Stock Control

Objectives:
• Manage stock levels to prevent shortages and overstock.
• Perform stock counts and reconcile discrepancies.
• Understand expiry date management.
• Apply first-in-first-out (FIFO) principles.

• Stock ordering: minimum and maximum levels.
• Receiving goods: checking invoices, expiry dates, condition.
• Stock rotation and FIFO.
• Conducting stock takes.
• Handling damaged or expired stock.
• Use of inventory software (basic).

Day 9: Safety and Error Prevention

Objectives:
• Identify common dispensing errors and their causes.
• Implement strategies to prevent errors.
• Understand the importance of reporting errors.
• Apply safety checks in the dispensing process.

• Types of dispensing errors: wrong drug, dose, patient, etc.
• Root cause analysis.
• Look-alike/sound-alike medicines.
• Double-check systems.
• Incident reporting and learning from errors.
• Creating a culture of safety.

Day 10: Infection Control and Hygiene

Objectives:
• Apply standard precautions for infection control.
• Maintain a clean and hygienic dispensing area.
• Handle medicines safely to prevent contamination.
• Understand the role of personal protective equipment (PPE).

Topics:
• Hand hygiene and glove use.
• Cleaning and disinfection of surfaces.
• Safe handling of cytotoxic and hazardous medicines.
• Waste disposal: sharps, pharmaceutical waste.
• PPE: gloves, masks, aprons.
• Regulatory requirements for infection control.

Day 11: Computer Systems and Technology in Pharmacy

Objectives:
• Use pharmacy software for dispensing and record keeping.
• Process prescriptions electronically.
• Generate labels and patient information.
• Understand data protection and confidentiality.

• Patient registration and prescription entry.

Day 12: Integration, Assessment, and Professional Development

• Integrate all knowledge and skills into a simulated dispensing process.
• Demonstrate competence in a final practical assessment.

• Understand the path to becoming a registered pharmacist assistant.

Overview

Practical sessions are essential for developing hands-on dispensing skills, prescription processing, patient counseling, and safe handling of medicines. These supervised sessions simulate real pharmacy environments to ensure competence and compliance with legal standards.

Practical Activities
  • Dispensing Practice: Prescription Processing and Labeling — Learners practice processing prescriptions from receipt to final check, including labeling and packaging. (10h)
  • Controlled Substances Handling and Register Management — Learners practice ordering, receiving, storing, and dispensing controlled substances, and maintaining the register. (6h)
  • Patient Counseling Scenarios — Role-play patient counseling for prescription and OTC medicines, including handling queries and red flags. (6h)
  • Inventory Management and Stock Control Exercise — Simulate stock receiving, rotation, counting, and expiry management using mock pharmacy stock. (6h)
  • Integrated Dispensing Simulation and Final Assessment — Comprehensive simulation covering the entire dispensing process from prescription to patient counseling, assessed for competence. (8h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
