Prerequisites

None — open enrollment. However, learners should be employed in or have access to a distribution centre environment handling scheduled medicines.

Course Outline

Day 1: Introduction to Scheduled Medicines and Regulatory Framework

Objectives:
• Understand the legal and regulatory framework governing scheduled medicines in South Africa
• Identify the different schedules and their implications for distribution
• Explain the roles and responsibilities of key stakeholders (SAHPRA, distributors, pharmacists)
• Recognise the importance of compliance in medicine distribution

• Overview of the Medicines and Related Substances Act (Act 101 of 1965)
• SAHPRA regulations and guidelines for scheduled medicines
• Classification of scheduled substances (Schedules 1-8)
• Licensing requirements for distribution centres
• Record-keeping and documentation standards
• Ethical considerations in medicine handling

Day 2: Distribution Centre Operations and Safety Protocols

Objectives:
• Describe the layout and workflow of a distribution centre for scheduled medicines
• Identify safety and security measures required for storage and handling
• Explain temperature control and cold chain requirements
• Outline standard operating procedures (SOPs) for receipt and dispatch

• Designated storage areas for different schedules
• Security systems: access control, CCTV, alarms
• Temperature monitoring and cold chain management
• SOPs for receiving and dispatching medicines
• Incident reporting and emergency procedures
• Personal protective equipment (PPE) requirements

Day 3: Receipt of Scheduled Medicines – Processes and Verification

• Perform step-by-step receipt procedures for scheduled medicines
• Verify incoming stock against delivery documentation
• Inspect packaging, labelling, and expiry dates
• Identify discrepancies and report them according to protocol

Day 4: Dispatch of Scheduled Medicines – Order Picking and Packing

• Apply correct order picking methods for scheduled medicines
• Pack medicines securely according to regulatory requirements
• Label packages accurately with required information
• Ensure batch traceability during dispatch

• Order picking: single vs batch picking
• Packing standards: segregation, cushioning, sealing
• Labelling: patient information, schedule classification, handling instructions

Day 5: Documentation, Record-Keeping, and Traceability

• Complete all required documentation for receipt and dispatch
• Maintain accurate records for audit purposes
• Use inventory management systems to track stock movements
• Understand the importance of traceability from supplier to patient

Day 6: Quality Assurance, Audits, and Compliance

• Conduct internal quality checks on receipt and dispatch processes
• Prepare for external audits by regulatory bodies
• Identify non-compliance issues and implement corrective actions
• Apply principles of good distribution practice (GDP)

Day 7: Integration, Assessment, and Practical Review

• Demonstrate end-to-end competence in scheduled medicine dispatch and receipt
• Integrate all processes from receipt to dispatch in a simulated environment
• Complete a comprehensive assessment covering theory and practice
• Reflect on learning and identify areas for further development

Overview

Practical sessions are essential to develop hands-on skills in receiving, inspecting, picking, packing, and documenting scheduled medicines. Learners will apply standard operating procedures in a simulated distribution centre environment under supervision.

Practical Activities
  • Receipt and Inspection of Scheduled Medicines — Learners receive scheduled medicines, verify documentation, inspect physical condition, and record batch and expiry details. (6h)
  • Order Picking and Packing for Dispatch — Learners pick orders from storage, pack medicines securely, label packages, and prepare dispatch documentation. (6h)
  • Documentation and Inventory Management — Learners use an inventory system to update stock records, maintain registers, and generate dispatch documents. (6h)
  • Integrated Simulated Dispatch and Receipt Cycle — Learners complete a full cycle from receiving a shipment to dispatching orders, including handling a simulated discrepancy and audit query. (6h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
