This course equips learners with the skills to plan and implement operational activities effectively within a business unit. It focuses on developing operational plans, allocating resources, and monitoring performance to ensure alignment with organisational objectives.

Course Outline

Day 1: Foundations of Operations Planning

Objectives:
• Understand the purpose and scope of operations planning in a business context.
• Identify key components of an operational plan.
• Explain the relationship between strategic objectives and operational planning.
• Recognize the role of resource allocation in operations planning.

• Introduction to operations management and planning.
• The operations planning process: from strategy to execution.
• Key elements of an operational plan: goals, tasks, timelines, resources.
• Aligning operations with organisational strategy.
• Overview of resource types: human, financial, material, and technological.
• Basic forecasting techniques for demand and capacity.
• Case studies: successful operations planning examples.
• Group discussion: identifying planning gaps in own organisation.

Day 2: Resource Management and Capacity Planning

Objectives:
• Differentiate between capacity, demand, and utilisation.
• Apply techniques for capacity planning and resource levelling.
• Develop a basic resource allocation plan.
• Understand the impact of constraints on operations.

Topics:
• Capacity planning concepts: design capacity, effective capacity, and actual output.
• Demand forecasting methods: qualitative and quantitative.
• Resource levelling and smoothing techniques.
• Tools for capacity management: Gantt charts, load charts.
• Managing bottlenecks and constraints.
• Budgeting for operations: cost estimation and control.
• Workshop: creating a resource allocation plan for a given scenario.
• Review of key performance indicators (KPIs) for operations.

Day 3: Process Design and Workflow Optimisation

Objectives:
• Map and analyse existing operational processes.
• Identify inefficiencies and areas for improvement.
• Apply process redesign principles to enhance workflow.
• Evaluate the impact of process changes on quality and cost.

• Process mapping techniques: flowcharts, swimlane diagrams.
• Value stream mapping and waste identification.
• Lean principles: 5S, Kaizen, and continuous improvement.
• Workflow optimisation: balancing workload and reducing cycle time.
• Quality management basics: ISO standards, Six Sigma.
• Process simulation and what-if analysis.
• Group exercise: redesign a process for a case study.
• Discussion: change management and employee buy-in.

Day 4: Implementation Planning and Scheduling

Objectives:
• Develop a detailed implementation plan with milestones and deadlines.
• Use scheduling tools to sequence tasks and allocate resources.
• Manage project risks and contingencies.
• Monitor progress against the plan using control mechanisms.

Topics:
• From plan to action: breaking down tasks into work packages.
• Scheduling techniques: critical path method (CPM), PERT.
• Using project management software for scheduling.
• Risk assessment and mitigation strategies.
• Contingency planning for operations disruptions.
• Monitoring and control: dashboards, variance analysis.
• Workshop: create a Gantt chart for a sample project.
• Role-play: handling a scheduling conflict.

Day 5: Performance Measurement and Continuous Improvement

Objectives:
• Define key performance indicators (KPIs) for operations.
• Use data to evaluate operational performance.
• Implement a continuous improvement cycle.
• Apply root cause analysis to operational problems.

• Selecting and defining KPIs: leading vs. lagging indicators.
• Data collection methods and tools.
• Performance dashboards and reporting.
• Continuous improvement models: PDCA, DMAIC.
• Root cause analysis techniques: 5 Whys, fishbone diagram.
• Benchmarking and best practices.
• Case study: improving a failing process.
• Group exercise: conduct a root cause analysis.

Day 6: Integration, Review, and Practical Application

Objectives:
• Integrate all planning components into a comprehensive operational plan.
• Review and refine plans based on feedback.
• Present and defend an operational plan.
• Understand the role of leadership in operations implementation.

• Consolidating the operational plan: linking resources, processes, and schedules.
• Stakeholder communication and reporting.
• Leadership skills for operations managers: motivation, delegation.
• Reviewing and revising plans: lessons learned.
• Final project: develop and present an operational plan for a real or simulated organisation.
• Peer review and feedback session.
• Course wrap-up and action planning.
• Assessment of learning outcomes.

Practicals

16 hours of practicals To be conducted online or on-campus or in-house
Overview

The practicals provide hands-on experience in applying operations planning tools and techniques. Learners will use scheduling software, conduct process mapping, and develop resource plans in simulated business scenarios, reinforcing theoretical concepts through active practice.

Practical Activities
  • Practical 1: Resource Allocation and Capacity Planning — Learners use a case study to calculate capacity requirements and allocate resources using a Gantt chart template. (4h)
  • Practical 2: Process Mapping and Optimisation — Learners map an existing process, identify wastes, and redesign the workflow using value stream mapping. (4h)
  • Practical 3: Implementation Scheduling and Risk Assessment — Using a project scenario, learners develop a schedule with CPM, identify risks, and create a contingency plan. (4h)
  • Practical 4: Performance Dashboard and Continuous Improvement — Learners analyse operational data, select KPIs, and build a dashboard. Then conduct a root cause analysis on a performance issue. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
