Day 1: Introduction to Event Site Planning and Regulatory Framework

Objectives:
• Understand the purpose and scope of event site planning • Identify key South African legislation and standards governing event sites • Define the roles and responsibilities of a site plan supervisor • Recognise the importance of safety and compliance in event planning

• Overview of the SAQA Unit Standard 115869 • Introduction to event site planning concepts • Relevant legislation: OHS Act, Municipal By-laws, SANS standards • Roles of the event organiser, safety officer, and site supervisor • Types of events and their specific site requirements • Basic terminology and symbols used in site plans

Day 2: Fundamentals of Site Plan Interpretation

Objectives:
• Interpret basic site plan components and symbols • Identify key infrastructure and service markings on plans • Understand scale, dimensions, and orientation on site plans • Distinguish between different types of site plan drawings

Topics:
• Components of a site plan: legend, scale, north point • Common symbols for utilities, structures, and amenities • Reading and interpreting site plan scales and measurements • Types of drawings: layout plans, elevation plans, detail drawings • Introduction to zoning and spatial allocation on site plans • Practical exercises in basic plan interpretation

Day 3: Advanced Site Plan Analysis and Risk Assessment

Objectives:
• Analyse site plans for potential hazards and risks • Identify critical control points and emergency access routes • Assess site suitability for specific event types • Apply risk assessment methodologies to site planning

• Hazard identification through site plan analysis • Risk assessment techniques specific to event sites • Emergency access and egress planning • Crowd flow analysis and capacity calculations • Terrain and environmental factor assessment • Integration of safety zones and emergency assembly points

Day 4: Site Plan Implementation Planning

• Develop implementation strategies from site plans • Create staging and phasing plans for site setup • Coordinate multiple service providers and contractors • Plan for temporary infrastructure installation and removal

• Translating site plans into actionable implementation plans • Staging and sequencing of site setup activities • Coordination of vendors, contractors, and service providers • Temporary structures: stages, marquees, fencing, lighting • Utility provision planning: power, water, sanitation • Timeline development and critical path analysis

Day 5: Supervision Fundamentals and Communication Protocols

• Apply supervisory techniques to site plan implementation • Establish effective communication channels with all stakeholders • Monitor compliance with site plans and safety requirements • Document site activities and maintain accurate records

Day 6: Practical Supervision Applications and Problem-Solving

• Apply supervisory skills to real-world site scenarios • Troubleshoot common implementation challenges • Make informed decisions to maintain site plan integrity • Manage deviations and adaptations during implementation

Day 7: Integration and Final Site Preparation

• Integrate all site plan components into a cohesive operational plan • Conduct final site inspections and compliance checks • Coordinate final preparations with all stakeholders • Develop contingency plans for various scenarios

Day 8: Assessment, Review, and Professional Development

• Demonstrate competency in site plan interpretation and supervision • Evaluate the effectiveness of site plan implementation • Identify areas for continuous improvement • Plan for ongoing professional development in event management

This course is made up of exercises and case studies delivered alongside the theory — no separate practical sessions are required to complete it.

Summatives

Each delegate is assessed continuously throughout the course and a final summative test at the end.

Daily Exercises — 30%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 30% to the final total.

Final Test — 70%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 70% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Daily Average 30% + Final Test 70%).
