This course equips learners with the practical application of facilities management principles to ensure efficient, safe, and cost-effective operation of building services and infrastructure. Participants will gain the skills to plan, coordinate, and monitor facilities activities in alignment with organisational objectives and regulatory requirements.

Facilities managers, property managers, maintenance supervisors, and any professionals responsible for the management of physical assets and building services within their organisation.

Prerequisites

None — open enrollment. However, learners should have basic numeracy and literacy skills at NQF Level 4 or equivalent.

Course Outline

Day 1: Foundations of Facilities Management

Objectives:
• Define facilities management and its scope within the South African context.
• Understand the role of a facilities manager and key stakeholders.
• Identify the core components of a facilities management strategy.
• Explain the importance of aligning facilities management with organisational goals.

Topics:
• Introduction to facilities management: definitions, history, and industry bodies (SAFM, IFMA).
• The facilities management value chain: from strategic planning to operational delivery.
• Key stakeholders: clients, users, service providers, and regulators.
• Facilities management models: in-house, outsourced, and hybrid.
• Overview of legislative and regulatory framework in South Africa (OHS Act, SANS 10400).
• Introduction to service level agreements (SLAs) and key performance indicators (KPIs).

Day 2: Space Management and Workplace Planning

Objectives:
• Apply space management principles to optimise workplace utilisation.
• Understand workplace design trends and their impact on productivity.
• Develop a basic space allocation plan using industry standards.
• Evaluate the relationship between space management and organisational culture.

Topics:
• Principles of space management: allocation, utilisation, and forecasting.
• Workplace design: activity-based working, open plan, and hybrid models.
• Space measurement standards: net, gross, and usable area (SANS 10400).
• Tools for space management: CAFM/IWMS software basics.
• Health, safety, and ergonomics in workplace planning.
• Case study: space audit and optimisation exercise.

Day 3: Maintenance Management and Asset Lifecycle

Objectives:
• Differentiate between reactive, preventive, and predictive maintenance strategies.
• Develop a basic maintenance plan for a facility.
• Understand asset lifecycle management and its financial implications.
• Apply key performance indicators to monitor maintenance effectiveness.

Topics:
• Maintenance strategies: reactive, preventive, predictive, and reliability-centred maintenance.
• Asset lifecycle: acquisition, operation, maintenance, and disposal.
• Maintenance planning: scheduling, resource allocation, and work orders.
• Condition-based monitoring techniques.
• Budgeting for maintenance: capital vs operational expenditure.
• Measuring maintenance performance: MTBF, MTTR, and OEE.

Day 4: Service Delivery and Contract Management

Objectives:
• Understand the procurement and contract management process for facilities services.
• Develop and manage service level agreements (SLAs).
• Apply performance management techniques to monitor service providers.
• Identify risks in outsourced services and develop mitigation strategies.

Topics:
• Procurement lifecycle: needs assessment, tendering, evaluation, and award.
• Types of facilities contracts: fixed-price, cost-plus, and performance-based.
• Service level agreement (SLA) development: scope, KPIs, and penalties.
• Performance management: monitoring, reporting, and review meetings.
• Risk management in service delivery: business continuity and disaster recovery.
• Stakeholder communication and relationship management.

Day 5: Integration, Sustainability, and Future Trends

Objectives:
• Integrate facilities management principles into a cohesive operational plan.
• Understand sustainability practices and green building certifications (e.g., Green Star, EDGE).
• Identify emerging trends: smart buildings, IoT, and digital twins.
• Develop a personal action plan for applying FM principles in the workplace.

Topics:
• Integrating FM functions: space, maintenance, services, and sustainability.
• Sustainability in facilities management: energy, water, waste, and indoor environmental quality.
• Green building certifications: Green Star SA, EDGE, and Net Zero.
• Technology in FM: building management systems (BMS), IoT, and computer-aided facility management (CAFM).
• Future trends: remote monitoring, predictive analytics, and occupant experience.
• Course review and development of an implementation action plan.

Overview

Practical sessions are designed to reinforce theoretical concepts through hands-on application. Learners will conduct space audits, develop maintenance plans, draft SLAs, and perform integrated facility assessments, ensuring they can apply FM principles in real-world scenarios.

Practical Activities
  • Space Audit and Allocation Exercise — Learners conduct a mock space audit of a floor plan, calculate utilisation rates, and propose an optimised layout. (4h)
  • Maintenance Plan Development — Using a case study facility, learners create a preventive maintenance schedule for critical assets, including work orders and resource allocation. (4h)
  • Service Level Agreement (SLA) Drafting — In groups, learners draft an SLA for a cleaning or security service, including scope, KPIs, and penalty clauses. (4h)
  • Integrated Facilities Assessment — Learners conduct a mock integrated assessment of a facility, covering space, maintenance, services, and sustainability, and produce a summary report. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
