This course equips learners with the skills to deliver professional event support services tailored to specific event genres, such as corporate conferences, exhibitions, or cultural festivals. Course Outline

Day 1: Introduction to Event Genres and Support Services

Objectives:
• Define different event genres (corporate, cultural, sporting, entertainment).
• Explain the role of support services in event success.
• Identify key stakeholders and their expectations.
• Outline the scope of support services across genres.

• Overview of event genres and their characteristics.
• Event lifecycle and support service touchpoints.
• Stakeholder analysis: clients, vendors, attendees.
• Introduction to service level agreements (SLAs).
• Genre-specific challenges (e.g., security at sporting events).

Day 2: Planning and Coordination for Event Support

Objectives:
• Develop a support services plan for a given event genre.
• Apply risk assessment techniques specific to events.
• Coordinate with internal and external teams.
• Create checklists for pre-event logistics.

Topics:
• Support service planning frameworks.
• Risk management: crowd control, weather, equipment failure.
• Communication protocols among teams.
• Logistics: setup, signage, waste management.
• Budgeting for support services.

Day 3: Equipment and Technical Support

Objectives:
• Identify genre-appropriate equipment (AV, lighting, staging).
• Perform basic equipment checks and troubleshooting.
• Understand technical rider requirements.
• Coordinate with technical vendors.

• Types of event equipment: sound, lighting, video.
• Reading and interpreting technical riders.
• Equipment safety and compliance (OHS Act).
• Setup and breakdown procedures.
• Common technical issues and solutions.

Day 4: Crowd Management and Safety Support

Objectives:
• Apply crowd management principles for different genres.
• Implement emergency response procedures.
• Ensure compliance with health and safety regulations.
• Manage access control and ticketing support.

• Crowd dynamics and density management.
• Emergency evacuation plans.
• First aid and medical support coordination.
• Access control systems (wristbands, scanners).
• Alcohol management and security protocols.

Day 5: Catering and Hospitality Support

Objectives:
• Plan catering requirements per event genre.
• Coordinate with catering providers.
• Ensure dietary and allergy compliance.
• Manage VIP hospitality services.

• Catering logistics: menu planning, quantities, timing.
• Dietary restrictions and allergen management.
• VIP and green room hospitality.
• Waste reduction and sustainable practices.
• Service standards and presentation.

Day 6: On-Site Execution and Troubleshooting

• Execute a support services plan during a simulated event.
• Handle real-time issues and changes.
• Communicate effectively under pressure.
• Document incident reports.

• On-site coordination: walkie-talkie protocols.
• Problem-solving scenarios: delays, equipment failure.
• Role of the support services manager.
• Incident documentation and reporting.
• Post-event debriefing techniques.

Day 7: Review, Assessment, and Industry Best Practices

Objectives:
• Evaluate event support performance using KPIs.
• Apply continuous improvement strategies.
• Understand industry trends in event support.
• Prepare for unit standard assessment.

• Post-event evaluation and feedback collection.
• Case studies of successful event support.

Practicals

Overview

Hands-on practicals allow learners to apply support service concepts in simulated event environments. These sessions reinforce planning, equipment handling, crowd management, and troubleshooting skills essential for real-world event support.

Practical Activities
  • Practical 1: Event Support Planning — Learners work in groups to create a support services plan for a assigned event genre, including risk assessment and checklists. (4h)
  • Practical 2: Equipment Setup and Operation — Learners set up and test basic AV and lighting equipment, troubleshoot common faults, and follow technical rider instructions. (6h)
  • Practical 3: Crowd Management Simulation — Simulated event with role-play scenarios: learners manage crowd flow, handle an emergency evacuation, and coordinate access control. (6h)
  • Practical 4: Catering Coordination Drill — Learners plan and coordinate a catering setup for a mock VIP event, including dietary compliance and service timing. (4h)
  • Practical 5: On-Site Troubleshooting Exercise — Learners respond to real-time issues (e.g., equipment failure, schedule changes) in a simulated event environment, documenting incidents. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
