Description

This course equips learners with the skills to process financial transactions accurately and securely within a gaming environment. It covers the handling of cash, tokens, and electronic payments, as well as the reconciliation of gaming machine transactions. Learners will also gain an understanding of the regulatory and compliance requirements specific to the South African gaming industry.

Target Audience

This course is designed for gaming industry staff responsible for financial transactions, including cashiers, cage personnel, and gaming floor attendants. It is also suitable for supervisors and managers seeking to ensure compliance and accuracy in financial processing.

Prerequisites

None — open enrollment. However, learners must be employed or have access to a gaming environment for practical application.

Course Outline

Day 1: Introduction to Financial Transaction Processing in Gaming

Objectives:
• Understand the gaming industry context and regulatory framework
• Identify key financial transaction types in gaming environments
• Recognise the importance of accurate transaction processing
• Describe the roles and responsibilities of gaming financial staff
• Explain the consequences of non-compliance

Topics:
• Overview of the South African gaming industry
• Regulatory bodies and legal requirements (SAQA, NGB, provincial boards)
• Types of financial transactions: cash, electronic, credit, and loyalty points
• Transaction lifecycle: initiation, authorisation, settlement, reconciliation
• Ethical considerations and responsible gambling
• Introduction to internal controls and audit trails

Day 2: Transaction Processing Systems and Controls

Objectives:
• Describe the components of gaming transaction processing systems
• Demonstrate understanding of internal control procedures
• Apply segregation of duties principles
• Identify common transaction errors and fraud risks
• Explain the role of surveillance and monitoring

Topics:
• Point-of-sale (POS) and electronic payment terminals
• Slot machine accounting systems (SAS) and central monitoring
• Cash handling procedures: drops, counts, and vault operations
• Internal controls: dual control, reconciliations, and exception reporting
• Fraud prevention: skimming, counterfeit currency, and chargebacks
• Error detection and correction protocols

Day 3: Reconciliation and Reporting

Objectives:
• Perform daily transaction reconciliations
• Generate and interpret financial reports
• Identify discrepancies and initiate corrective actions
• Understand the importance of accurate record-keeping
• Comply with reporting deadlines and formats

• Reconciliation of cash, credit, and electronic transactions
• Balancing gaming machine revenue reports
• Preparing daily summary reports and variance analyses
• Regulatory reporting requirements (e.g., tax, turnover)
• Use of spreadsheets and accounting software
• Documentation and audit trail maintenance

Day 4: Advanced Topics and Compliance

Objectives:
• Analyse complex transaction scenarios (e.g., progressive jackpots, multi-site)
• Apply anti-money laundering (AML) procedures
• Understand the impact of technology on transaction processing
• Evaluate compliance with internal and external standards
• Prepare for audits and inspections

Topics:
• Progressive jackpot pooling and payout processing
• Multi-currency and foreign exchange considerations
• AML: suspicious transaction reporting, customer due diligence
• Data protection and privacy in financial transactions
• Emerging technologies: digital wallets, blockchain, cryptocurrency
• Audit preparation: documentation, sampling, and testing

Day 5: Practical Integration and Assessment

Objectives:
• Integrate all knowledge into a simulated gaming environment
• Demonstrate proficiency in processing and reconciling transactions
• Respond to exception scenarios and errors
• Complete a comprehensive practical assessment
• Reflect on best practices and continuous improvement

• Simulated transaction processing exercise (cash, EFT, credit)
• Reconciliation of a mock gaming day
• Handling discrepancies and fraud scenarios
• Role-play: surveillance, compliance, and management
• Assessment: written test and practical demonstration
• Course review and feedback

Overview

The practicals provide hands-on experience with gaming transaction processing systems, cash handling, reconciliation, and compliance procedures. Learners will apply theoretical knowledge in simulated environments to develop competence in accurate and secure financial operations.

Practical Activities
  • Cash Handling and Drop Procedures — Learners practice secure cash handling, including drop procedures, counting, and documenting cash from gaming machines in a simulated environment. (4h)
  • Transaction Processing and Reconciliation — Using a simulated gaming system, learners process various transaction types (cash, credit, electronic) and perform end-of-day reconciliations. (6h)
  • Exception Handling and Fraud Scenarios — Learners respond to simulated exception events such as transaction errors, suspected fraud, and suspicious activity reports. (3h)
  • Integrated Practical Assessment — Learners complete a comprehensive practical assessment covering the full transaction processing cycle from drop to reconciliation and reporting. (3h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
