Course Outline

Day 1: Introduction to Transport Operating Costs

Objectives:
• Define transport operating costs and their components
• Distinguish between fixed, variable, and semi-variable costs
• Understand the importance of cost management in transport operations
• Identify key cost drivers in the transport industry
• Explain the regulatory context of transport cost management in South Africa

• Cost drivers: fuel, maintenance, labour, tyres, depreciation

• Regulatory framework: SAQA, NQF, and industry standards

Day 2: Costing Methods and Techniques

Objectives:
• Apply standard costing methods in transport operations
• Calculate total cost per kilometre and per trip
• Use activity-based costing for transport services
• Understand marginal costing for decision-making
• Analyse cost-volume-profit relationships

• Standard costing principles
• Cost per kilometre calculation
• Activity-based costing in transport
• Marginal costing and contribution analysis

Day 3: Fuel Management and Cost Control

Objectives:
• Identify factors affecting fuel consumption
• Implement fuel management strategies
• Calculate fuel efficiency and cost per litre
• Use fuel cards and telematics for monitoring
• Develop fuel reduction initiatives

• Fuel consumption factors: vehicle type, load, route, driver behaviour

Day 4: Maintenance Cost Management

Objectives:
• Understand maintenance cost components
• Plan preventive maintenance schedules
• Calculate maintenance cost per kilometre
• Evaluate cost-benefit of maintenance strategies
• Implement tyre management programs

• Types of maintenance: preventive, corrective, predictive

Day 5: Labour and Overhead Cost Control

Objectives:
• Analyse driver labour costs and productivity
• Implement driver incentive schemes
• Manage overhead costs: insurance, licensing, administration
• Calculate total cost of ownership (TCO)
• Use key performance indicators (KPIs) for cost control

• Driver productivity measures: km per day, fuel efficiency
• Overhead cost allocation and reduction

Day 6: Budgeting and Financial Analysis

Objectives:
• Prepare an operating budget for transport operations
• Conduct variance analysis between budget and actual costs
• Use financial ratios to assess cost performance
• Make cost reduction recommendations based on data
• Present cost reports to management

Day 7: Integration and Application

Objectives:
• Integrate all cost management components into a cohesive plan
• Develop a cost control policy for a transport operation

• Evaluate the impact of cost control on business sustainability

Practicals

20 hours of practicals To be conducted online or on-campus or in-house
Overview

Learners will engage in practical exercises including cost calculations, fuel consumption monitoring, maintenance scheduling, and budget preparation using real-world data. These hands-on activities reinforce theoretical concepts and develop skills in cost analysis and control.

Practical Activities
  • Cost Calculation Exercise — Learners calculate total cost per kilometre and per trip using provided data on fuel, maintenance, labour, and overheads. (4h)
  • Fuel Management Simulation — Using telematics data, learners analyse fuel consumption patterns and propose fuel-saving measures. (4h)
  • Maintenance Planning Workshop — Learners develop a preventive maintenance schedule and calculate maintenance cost per kilometre for a fleet. (4h)
  • Budget Preparation and Variance Analysis — Learners prepare an operating budget for a transport department and perform variance analysis against actual results. (4h)
  • Integrated Case Study Presentation — In groups, learners analyse a comprehensive case study, develop a cost control plan, and present findings. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).

  • If you scored under 50% you can sit the final test again at the next scheduled session at no extra cost.
