Course Outline

Day 1: Introduction to Vehicle Service and Repair Request Processing

Objectives:
• Understand the purpose and scope of vehicle service and repair request processing.
• Identify key stakeholders and their roles in the request process.
• Explain the importance of accurate documentation and communication.

• Overview of vehicle service and repair industry.
• Types of service and repair requests.
• Roles of service advisors, technicians, and customers.
• Basic documentation: job cards, work orders.
• Communication protocols in a workshop environment.
• Health and safety considerations.
• Introduction to relevant regulations and standards.
• Case studies of typical service requests.

Day 2: Receiving and Recording Service and Repair Requests

Objectives:
• Demonstrate ability to accurately receive and record customer requests.
• Identify vehicle information needed for job cards.
• Apply communication skills to clarify customer needs.

Topics:
• Customer intake procedures.
• Gathering vehicle details: VIN, mileage, symptoms.
• Using job cards and electronic systems.
• Prioritising requests based on urgency.
• Handling difficult customer interactions.
• Data entry accuracy and verification.
• Time management during intake.
• Role-playing customer scenarios.

Day 3: Diagnosing and Planning Repairs

Objectives:
• Understand basic diagnostic procedures for common vehicle issues.
• Learn to interpret diagnostic trouble codes (DTCs).
• Create a repair plan with estimated time and parts.

• Overview of vehicle systems (engine, transmission, brakes, etc.).
• Use of diagnostic tools and equipment.
• Interpreting fault codes and symptoms.
• Estimating repair times using standard labour guides.
• Parts identification and ordering procedures.
• Cost estimation and approval processes.
• Documenting diagnostic findings.
• Safety precautions during diagnosis.

Day 4: Managing the Repair Process and Communication

Objectives:
• Coordinate workflow between service desk and workshop.
• Communicate updates to customers effectively.
• Handle changes in scope or additional repairs.

Topics:
• Workflow management: scheduling and dispatching.
• Tracking repair progress using systems.
• Customer communication: updates, approvals, delays.
• Handling additional repairs and re-estimates.
• Quality control checks before vehicle release.
• Invoicing and payment procedures.
• Dealing with complaints and feedback.
• Team coordination and handover.

Day 5: Quality Assurance, Handover, and Continuous Improvement

Objectives:
• Perform final quality checks and ensure vehicle readiness.
• Complete handover process to customer.
• Identify areas for process improvement in request handling.

Topics:
• Final inspection and test drive procedures.
• Cleaning and preparing vehicle for handover.
• Explaining completed work to customers.
• Documentation completion and filing.
• Customer satisfaction surveys and follow-up.
• Analysing common issues and errors.
• Process improvement strategies.
• Review of course and assessment preparation.

Practicals

16 hours of practicals To be conducted online or on-campus or in-house
Overview

Practical sessions allow learners to apply theoretical knowledge in simulated or real workshop environments. They practice receiving requests, using diagnostic tools, managing workflow, and performing quality checks under supervision.

Practical Activities
  • Receiving and Recording Requests — Learners role-play as service advisors, taking customer requests, recording vehicle details, and completing job cards. (4h)
  • Diagnostic and Repair Planning — Using diagnostic simulators, learners identify faults, interpret codes, and create repair plans including parts and labour estimates. (4h)
  • Workflow Management and Customer Updates — Learners manage a simulated workflow, assigning tasks to technicians, tracking progress, and communicating updates to customers. (4h)
  • Quality Check and Handover — Learners perform final inspections, complete documentation, and conduct a mock handover to a customer explaining completed work. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
