Course Outline

Day 1: Introduction to Adobe Acrobat and Data Capturing

Objectives:
• Understand the role of Adobe Acrobat in document management.
• Navigate the Acrobat interface and basic tools.
• Explain the principles of data capturing.
• Identify different data types and sources.
• Set up a document for data entry.

• Overview of Adobe Acrobat Pro DC.
• Navigating the workspace: tools, panels, and menus.
• Creating PDFs from various sources (Word, Excel, scans).
• Introduction to data capturing: manual vs automated.
• Understanding data fields and form elements.
• Basic text editing and commenting.
• Saving and exporting PDFs.
• Best practices for document organisation.

Day 2: Creating Interactive Forms

Objectives:
• Design and create fillable PDF forms.
• Add and configure form fields (text, checkboxes, radio buttons).
• Set field properties and validation.
• Understand form distribution and data collection.
• Apply accessibility features to forms.

Topics:
• Using the Prepare Form tool.
• Adding text fields, check boxes, radio buttons, dropdowns.
• Setting field properties: required, format, validation.
• Creating calculations and actions.
• Distributing forms via email or shared drive.
• Collecting responses and tracking.
• Accessibility: tab order, tooltips, and tags.
• Testing and previewing forms.

Day 3: Advanced Form Features and Data Capture Automation

Objectives:
• Implement advanced form features (conditional logic, calculations).
• Automate data capture with barcodes and OCR.
• Use JavaScript for custom actions.
• Manage form data efficiently.
• Export data to spreadsheets and databases.

Topics:
• Conditional fields and visibility.
• Running calculations and custom JavaScript.
• Barcode fields: generating and scanning.
• Optical Character Recognition (OCR) for scanned forms.
• Importing and exporting form data (FDF, XML, CSV).
• Using the Data Collection tool.
• Automating workflows with Actions Wizard.
• Security settings for form data.

Day 4: Data Capturing Techniques and Quality Assurance

Objectives:
• Apply data capturing best practices for accuracy.
• Use validation rules to reduce errors.
• Perform data verification and cleaning.
• Manage large datasets and multiple forms.
• Understand compliance requirements (POPIA).

• Data entry techniques: speed and accuracy.
• Validation rules: range checks, pattern matching.
• Data verification: double-entry and review.
• Cleaning data: removing duplicates, correcting errors.
• Managing multiple forms: batch processing.
• Combining data from multiple sources.
• Introduction to PDF portfolios.
• Data protection and confidentiality.

Day 5: Integration, Automation, and Practical Application

Objectives:
• Integrate Acrobat with other applications (Excel, SharePoint).
• Automate repetitive tasks using Actions and JavaScript.
• Prepare final deliverables for client or stakeholder.
• Troubleshoot common issues.
• Demonstrate competency in a capstone project.

• Integrating Acrobat with Microsoft Office.
• Using Acrobat with SharePoint and cloud services.
• Creating custom Actions and batch processing.
• Advanced JavaScript for form automation.
• Troubleshooting form and data issues.
• Optimising PDFs for performance.
• Final project: end-to-end form creation and data capture.

Practicals

Overview

Practical sessions are essential for learners to apply form creation and data capturing skills in a hands-on environment. These exercises reinforce theoretical knowledge and build proficiency in using Adobe Acrobat for real-world document and data management tasks.

Practical Activities
  • Practical 1: Basic Form Creation — Learners create a simple fillable PDF form from a scanned document, adding text fields, checkboxes, and radio buttons with proper validation. (4h)
  • Practical 2: Advanced Form with Calculations — Learners build a complex form with conditional logic, calculations, and dropdown menus, then export data to CSV. (4h)
  • Practical 3: Data Capture and Verification — Learners capture data from multiple completed forms, perform validation and cleaning, and generate a summary report. (4h)
  • Practical 4: Integration and Automation Project — Learners complete a capstone project: create a professional form, automate data collection, integrate with Excel, and present results. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).

  • Certificates are auto-generated on the AATICD LMS as soon as the marks pass the 50% threshold.
  • Each certificate is a branded PDF with the delegate's name, the course title, the unit standard ID, NQF level, credits, and the date of issue.
  • You can download or print your certificate from your LMS dashboard at any time after issue — there's no reissue fee and no expiry date.
  • If you scored under 50% you can sit the final test again at the next scheduled session at no extra cost.
