Prerequisites

Course Outline

Day 1: Foundations of Accounts Receivable

Objectives:
• Understand the role and importance of accounts receivable in financial management
• Identify the components of the accounts receivable process
• Recognize the legal and regulatory framework governing credit and collections in South Africa
• Define key terms and metrics used in accounts receivable management

Topics:
• Overview of the credit management cycle
• The accounts receivable function and its place in the organisation
• Legal framework: National Credit Act, Consumer Protection Act, and other relevant regulations
• Key performance indicators (KPIs) for accounts receivable
• Ethical considerations in credit and collections
• Introduction to credit policies and procedures

Day 2: Credit Policy Development and Risk Assessment

Objectives:
• Develop a comprehensive credit policy aligned with organisational objectives
• Apply techniques for assessing customer creditworthiness
• Evaluate credit risk using financial analysis and credit scoring
• Establish credit limits and terms that balance risk and profitability

Topics:
• Components of a credit policy: objectives, scope, procedures
• Credit application process and documentation
• Financial statement analysis for credit decisions
• Credit scoring models and their application
• Setting credit limits and payment terms
• Risk mitigation strategies: guarantees, collateral, and insurance

Day 3: Invoicing, Billing, and Payment Processing

Objectives:
• Create accurate and timely invoices that comply with legal requirements
• Implement efficient billing and payment processing systems
• Manage various payment methods and electronic funds transfer (EFT) processes
• Reconcile accounts receivable ledgers and resolve discrepancies

Topics:
• Invoice generation and delivery methods
• VAT and tax considerations in invoicing
• Payment terms and discounts (early payment, late payment penalties)
• Payment methods: cash, cheque, EFT, credit cards, and online payments
• Accounts receivable ledger management and month-end closing
• Handling disputes and credit notes
• Automation of billing and payment processing

Day 4: Collections Management and Customer Relationships

Objectives:
• Design and implement effective collection strategies
• Apply communication and negotiation skills to collect overdue accounts
• Manage customer relationships while maintaining firmness in collections
• Comply with debt collection regulations and ethical standards

Topics:
• Collection policies and procedures
• Aging analysis and prioritising collection efforts
• Collection techniques: reminders, statements, phone calls, and letters
• Negotiation skills for repayment plans
• Handling difficult customers and disputes
• Legal aspects of debt collection (debt collectors act, etc.)
• Maintaining positive customer relationships during collections

Day 5: Performance Monitoring, Reporting, and Continuous Improvement

Objectives:
• Monitor and report on accounts receivable performance using KPIs and dashboards
• Analyse trends and identify areas for improvement
• Develop action plans to reduce days sales outstanding (DSO) and bad debt
• Integrate accounts receivable processes with overall financial management

• Key performance indicators: DSO, collection effectiveness index, bad debt ratio
• Dashboard and report design for management
• Trend analysis and benchmarking
• Root cause analysis of collection issues
• Continuous improvement strategies
• Technology and software for accounts receivable management
• Integration with cash flow forecasting and working capital management

Practicals

20 hours of practicals To be conducted online or on-campus or in-house
Overview

The practicals provide hands-on experience in applying credit policies, assessing creditworthiness, processing invoices, managing collections, and using accounting software. Learners will work on realistic scenarios to reinforce theoretical knowledge and develop practical skills essential for accounts receivable management.

Practical Activities
  • Practical 1: Credit Policy Development and Risk Assessment — Learners will work in groups to develop a sample credit policy and use financial data to assess the creditworthiness of hypothetical customers. (5h)
  • Practical 2: Invoicing and Billing Simulation — Using accounting software (e.g., Sage or QuickBooks), learners will create invoices, process payments, and reconcile accounts receivable ledgers. (5h)
  • Practical 3: Collections Role-Play and Strategy — Learners will participate in role-play scenarios simulating collection calls and negotiations, then develop a collections strategy for a case study. (5h)
  • Practical 4: Performance Reporting and Improvement Plan — Using a set of data, learners will calculate KPIs, create dashboards, and propose an improvement plan to reduce DSO and bad debt. (5h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
