Day 1: Foundations of Administrative Procedures

Day 2: Designing and Documenting Procedures

Objectives:
• Develop clear and concise procedure documents.
• Apply standardised templates for consistency.
• Incorporate stakeholder input into procedure design.
• Ensure procedures align with organisational goals.

• Elements of a well-written procedure (purpose, scope, steps).
• Templates and formatting guidelines.
• Writing for clarity and usability.
• Stakeholder consultation techniques.
• Aligning procedures with strategic objectives.

Day 3: Implementation and Change Management

• Plan the rollout of new procedures.
• Manage resistance to change effectively.
• Train staff on new procedures.
• Monitor initial implementation for issues.

• Change management models (ADKAR, Kotter).

Day 4: Monitoring, Evaluation, and Continuous Improvement

• Implement a continuous improvement cycle.

Day 5: Integration, Quality Assurance, and Final Assessment

Overview

Practical sessions allow learners to apply procedure design, documentation, implementation, and evaluation skills in simulated workplace scenarios. These hands-on activities reinforce theoretical concepts and build confidence in developing effective administrative procedures.

Practical Activities
  • Procedure Mapping and Analysis — Learners map an existing administrative workflow (e.g., leave application) using process mapping tools, identify inefficiencies, and propose improvements. (4h)
  • Procedure Documentation Drafting — Using a standard template, learners write a complete procedure for a given task, including purpose, scope, steps, and responsibilities. (4h)
  • Implementation and Change Management Simulation — In groups, learners role-play implementing a new procedure, addressing staff resistance, and delivering a training session. (4h)
  • Procedure Audit and Improvement Exercise — Learners audit a sample procedure against KPIs, identify gaps, and propose a revised version using the PDCA cycle. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
