This course equips learners with the knowledge and skills to manage heritage resources and records effectively within a South African context. Participants will gain practical competencies in heritage administration, including documentation, preservation, and access to records, in alignment with legislative frameworks such as the National Heritage Resources Act.

Day 2: Records Creation, Classification, and Appraisal

Objectives:
• Understand the records creation process and its importance.
• Apply classification schemes for heritage records.
• Conduct appraisal to determine records retention value.
• Implement disposal procedures in compliance with legislation.

• Records creation standards and metadata capture.
• Classification systems: functional, subject-based, and numeric.
• Appraisal criteria: administrative, legal, fiscal, historical value.
• Retention schedules and disposal authorities.
• Practical exercise: appraising sample heritage records.
• Documentation of appraisal decisions.

Day 3: Storage, Preservation, and Conservation of Heritage Records

Objectives:
• Describe appropriate storage conditions for different record formats.
• Identify preservation techniques for paper, digital, and audiovisual records.
• Apply basic conservation measures to extend record life.
• Develop a preservation plan for a heritage collection.

Day 4: Cataloguing and Metadata Standards for Heritage Collections

• Apply cataloguing standards to heritage records.
• Create descriptive metadata using Dublin Core and ISAD(G).
• Develop finding aids for user access.
• Understand the role of authority records and controlled vocabularies.

• Cataloguing principles: description, access points, authority control.
• Metadata standards: Dublin Core, ISAD(G), EAD.
• Creating descriptive records: title, creator, date, scope.
• Authority files for names and subjects.

Day 5: Digital Records Management and Digitization Strategies

• Plan and implement digitization projects for heritage materials.
• Manage born-digital records and digital preservation.
• Apply metadata for digital objects.

Day 7: Governance, Policy, and Legal Compliance

Day 8: Project Management and Change Management in Heritage Administration

• Present a capstone project demonstrating competence.

This course is made up of exercises and case studies delivered alongside the theory — no separate practical sessions are required to complete it.

Summatives

Each delegate is assessed continuously throughout the course and a final summative test at the end.

Daily Exercises — 30%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 30% to the final total.

Final Test — 70%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 70% to the overall mark.

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Daily Average 30% + Final Test 70%).
