This course equips pharmacy support personnel with the competencies to monitor stock levels, handle pharmaceutical stock safely, and dispatch orders accurately in compliance with South African pharmacy regulations. It ensures that learners can maintain inventory integrity, prevent stock losses, and contribute to efficient pharmacy operations.

Target Audience

This course is intended for pharmacy assistants, stock clerks, and dispensary support staff working in retail, hospital, or institutional pharmacies who are responsible for stock monitoring, handling, and dispatching.

Prerequisites

None — open enrollment. However, learners must be employed or have access to a pharmacy environment for practical application.

Course Outline

Day 1: Introduction to Pharmacy Stock Management

Objectives:
• Understand the principles of stock management in a pharmacy setting
• Identify the roles and responsibilities of a pharmacy stock controller
• Recognize the importance of accurate stock monitoring and dispatching
• Learn the legal and regulatory framework governing pharmacy stock
• Describe the consequences of poor stock management

• Overview of pharmacy stock management
• Key terminology: stock, inventory, dispatching, expiry, batch numbers
• Regulatory requirements (SAHPRA, Good Pharmacy Practice)
• Stock management cycle: ordering, receiving, storing, dispensing, disposing
• Ethics and professional conduct in stock handling
• Introduction to stock control systems (manual vs electronic)
• Common stock-related errors and their impact on patient safety

Day 2: Stock Monitoring Techniques

Objectives:
• Apply methods for monitoring stock levels effectively
• Conduct stock counts and reconcile discrepancies
• Monitor expiry dates and manage stock rotation
• Use inventory management systems to track stock movements
• Analyse stock data to identify trends and issues

• Stock counting methods: periodic, perpetual, cycle counts
• Managing expiry dates: FIFO, FEFO principles
• Batch and lot number tracking
• Using stock control software (basic functions)
• Reporting stock levels and generating alerts
• Handling stock discrepancies: overages, shortages, damages
• Temperature monitoring and cold chain management

Day 3: Dispatching and Order Fulfilment

Objectives:
• Process prescriptions and orders accurately for dispatch
• Apply dispensing procedures in line with legal requirements
• Package and label medicines correctly
• Manage returns and recalls
• Ensure patient safety through accurate dispatching

• Dispensing workflow: receiving, checking, labelling, handing out
• Legal requirements for prescription dispensing
• Labelling standards and patient information leaflets
• Packaging for safety: child-resistant containers, temperature control
• Handling controlled substances and special categories
• Returns process: expired, damaged, or recalled stock
• Documentation: prescription records, delivery notes, invoices

Day 4: Integration, Quality Assurance, and Best Practices

Objectives:
• Integrate stock monitoring and dispatching processes
• Implement quality assurance measures in stock management
• Identify and resolve common stock and dispatch problems
• Apply best practices for continuous improvement
• Prepare for audits and inspections

• Integrating stock monitoring with dispatching systems
• Quality assurance checks: double-checking, barcode scanning
• Problem-solving: stockouts, overstock, dispensing errors
• Standard operating procedures (SOPs) for stock and dispatch
• Audit preparation: documentation, compliance checks
• Continuous improvement: feedback loops, training updates

12 hours of practicals To be conducted online or on-campus or in-house
Overview

Practical sessions allow learners to apply stock monitoring and dispatching skills in a simulated pharmacy environment. Learners will practice stock counts, use inventory software, process prescriptions, and handle dispatching tasks under supervision.

Practical Activities
  • Stock Count and Reconciliation — Learners perform a physical stock count in a mock pharmacy, compare with system records, and reconcile discrepancies. (3h)
  • Expiry Date Management and Stock Rotation — Learners sort stock by expiry date, rotate shelves, and update records to ensure oldest stock is dispensed first. (3h)
  • Prescription Dispensing and Dispatching — Learners process sample prescriptions: check legality, select correct medicine, label, package, and hand out to simulated patient. (3h)
  • Returns and Recall Handling — Learners handle simulated returns (expired/damaged) and a product recall, following SOPs for quarantine, documentation, and disposal. (3h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
