Description

This course equips pharmacy support personnel with the skills to accurately receive, count, and store pharmaceutical stock in compliance with South African regulatory requirements. Learners will understand stock management procedures to prevent errors, ensure product integrity, and maintain audit readiness.

Target Audience

Pharmacy assistants, stock controllers, and dispensary support staff working in community, hospital, or institutional pharmacies who are responsible for handling pharmaceutical inventory.

Prerequisites

None — open enrollment. However, learners must be employed or have access to a pharmacy environment for practical application.

Course Outline

Day 1: Introduction to Pharmaceutical Stock Management

Objectives:
• Understand the importance of accurate stock receiving, counting, and storage in pharmacy practice
• Identify legal and regulatory requirements for stock management in South Africa
• Describe the roles and responsibilities of pharmacy personnel in stock control
• Recognize the consequences of poor stock management on patient safety and business operations

• Overview of pharmaceutical supply chain
• Legal framework: Medicines and Related Substances Act, Good Pharmacy Practice (GPP) standards
• Principles of inventory management
• Consequences of stock discrepancies: expiry, theft, loss
• Introduction to standard operating procedures (SOPs) for receiving, counting, and storage

Day 2: Stock Receiving Procedures

Objectives:
• Apply correct procedures for receiving pharmaceutical stock from suppliers
• Verify delivery documentation against physical goods
• Identify and handle discrepancies, damages, and short deliveries
• Understand temperature-sensitive and controlled substance receiving requirements

Topics:
• Pre-receiving checks: order confirmation, supplier credentials
• Physical receiving process: unpacking, inspection, documentation
• Matching delivery notes, invoices, and purchase orders
• Handling damaged or expired goods
• Receiving controlled substances: additional security measures
• Cold chain management during receiving

Day 3: Counting and Verification Techniques

Objectives:
• Perform accurate manual and electronic counting of pharmaceutical stock
• Apply double-counting and verification methods
• Use barcode scanners and inventory management software
• Document counts and report discrepancies

Topics:
• Manual counting techniques for tablets, capsules, liquids, and ampoules
• Use of counting trays, spatulas, and electronic counters
• Barcode scanning and system integration
• Cycle counting vs. full stocktake
• Recording counts: stock cards, bin cards, electronic logs
• Investigating and resolving count variances

Day 4: Storage Conditions and Organization

Objectives:
• Classify pharmaceuticals according to storage requirements
• Implement proper shelving, temperature control, and segregation
• Apply First Expiry First Out (FEFO) and First In First Out (FIFO) principles
• Ensure compliance with GPP storage standards

Topics:
• Storage categories: room temperature, refrigerated, controlled substances, flammable
• Shelving and layout: accessibility, orderliness
• Temperature monitoring and logging
• FEFO vs. FIFO: when to use each
• Segregation of look-alike/sound-alike (LASA) products
• Security measures: locks, alarms, access control

Day 5: Inventory Control and Record Keeping

Objectives:
• Maintain accurate stock records using manual and electronic systems
• Perform regular stock reconciliations
• Identify slow-moving, fast-moving, and obsolete stock
• Understand the role of stocktaking in inventory control

• Stock cards, bin cards, and electronic inventory systems
• Stock reconciliation: comparing physical counts to system records
• ABC analysis and inventory categorization
• Managing expiry dates: removal and disposal procedures
• Stocktaking methods: periodic, perpetual, and spot checks
• Documentation for audits and inspections

Day 6: Discrepancy Management and Problem Solving

Objectives:
• Investigate and resolve stock discrepancies effectively
• Apply corrective actions for overages, shortages, and damages
• Communicate with suppliers and internal teams regarding issues
• Implement preventive measures to reduce future discrepancies

Topics:
• Common causes of discrepancies: theft, human error, supplier errors
• Steps for investigating a discrepancy
• Documentation and reporting: discrepancy forms, incident reports
• Corrective actions: returns, credits, adjustments
• Communication protocols with suppliers and management
• Preventive strategies: training, SOP reviews, process improvements

Day 7: Integration, Quality Assurance, and Assessment

Objectives:
• Integrate all stock receiving, counting, and storage processes into daily workflow
• Apply quality assurance principles to stock management
• Prepare for internal and external audits
• Demonstrate competence through practical and theoretical assessment

• Developing and reviewing SOPs
• Quality indicators in stock management
• Audit preparation: documentation, traceability, compliance
• Case studies and scenario-based problem solving
• Recap of key concepts and best practices
• Final assessment: written test and practical demonstration

Overview

Hands-on practical sessions are essential for learners to develop competence in physically receiving, counting, and storing pharmaceutical stock. These sessions simulate real pharmacy environments where learners apply SOPs, use counting equipment, handle temperature-sensitive items, and manage discrepancies under supervision.

Practical Activities
  • Practical 1: Receiving and Inspecting Stock — Learners receive simulated pharmaceutical deliveries, inspect packaging, verify documentation, and record discrepancies. (6h)
  • Practical 2: Counting and Verifying Stock — Learners manually and electronically count various pharmaceutical forms, perform double-checks, and reconcile counts with records. (6h)
  • Practical 3: Organizing and Storing Stock — Learners arrange stock in a simulated pharmacy store, applying FEFO/FIFO, temperature monitoring, and segregation rules. (6h)
  • Practical 4: Stocktaking and Reconciliation — Learners conduct a full stocktake of a simulated pharmacy section, reconcile with system records, and report discrepancies. (6h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
