Course Outline

Day 1: Introduction to Order Receiving and Product Dispatch

Objectives:
• Understand the importance of order receiving and product dispatch in the supply chain.
• Identify key documentation and procedures.
• Recognize roles and responsibilities of personnel.
• Understand legal and regulatory requirements.
• Apply basic safety principles in receiving and dispatch areas.

• Overview of supply chain and logistics.
• Documentation: delivery notes, purchase orders, invoices.
• Roles of receiving clerk, dispatcher, and warehouse staff.
• Legal requirements: SAQA, OHS Act, and company policies.
• Safety in receiving and dispatch areas.

• Importance of accuracy and timeliness.

Day 2: Order Receiving Procedures

Objectives:
• Execute step-by-step receiving process.
• Verify incoming goods against documentation.
• Inspect goods for damage and quality.
• Record and report discrepancies.
• Apply stock rotation principles (FIFO/FEFO).

Topics:
• Receiving process: scheduling, unloading, checking.
• Verification: quantity, description, condition.
• Inspection techniques for damage and quality.
• Handling discrepancies: short shipments, damages, overages.
• Documentation: signing delivery notes, raising non-conformance reports.
• Stock rotation: FIFO, FEFO.
• Labelling and binning.
• Use of technology: barcode scanners, ERP systems.

Day 3: Product Dispatch Procedures

Objectives:
• Understand dispatch planning and prioritization.
• Execute picking and packing processes.
• Prepare dispatch documentation accurately.
• Coordinate with carriers and customers.
• Ensure compliance with transport regulations.

• Dispatch planning: order consolidation, route planning.
• Picking methods: batch, zone, wave.
• Packing standards: packaging materials, protection.
• Dispatch documentation: picking slips, packing lists, waybills.
• Loading procedures: vehicle inspection, load securement.
• Carrier coordination: scheduling, paperwork handover.
• Customer communication: dispatch notifications.
• Compliance: dangerous goods, cold chain, weight limits.

Day 4: Quality Control, Returns, and Problem Solving

Objectives:
• Apply quality checks in receiving and dispatch.
• Handle returns and exchanges efficiently.
• Resolve common discrepancies and errors.
• Use root cause analysis for recurring issues.
• Maintain accurate inventory records.

Topics:
• Quality control points: incoming inspection, outgoing quality.
• Returns process: authorization, inspection, restocking.
• Handling customer complaints related to dispatch.
• Discrepancy resolution: claims, credit notes.
• Root cause analysis: 5 Whys, fishbone diagram.
• Inventory accuracy: cycle counts, adjustments.
• Documentation of returns and adjustments.
• Continuous improvement: feedback loops.

Day 5: Integration, Systems, and Best Practices

Objectives:
• Use Warehouse Management Systems (WMS) effectively.
• Integrate receiving and dispatch with other departments.
• Apply key performance indicators (KPIs) for improvement.
• Understand reverse logistics and sustainability.
• Prepare for assessment and certification.

Topics:
• WMS functionality: receiving, putaway, picking, shipping.
• Integration with procurement, sales, and finance.
• KPIs: accuracy, cycle time, productivity, damage rates.
• Reverse logistics: returns, recycling, disposal.
• Sustainability: reducing waste, green logistics.
• Best practices: housekeeping, standardization.
• Review of unit standard outcomes.
• Assessment preparation and practice.

Practicals

Overview

Practical sessions provide hands-on experience in receiving and dispatch procedures. Learners will perform actual receiving checks, pick and pack orders, handle documentation, and use WMS terminals to reinforce theoretical concepts and build competence.

Practical Activities
  • Receiving Process Simulation — Learners simulate receiving a delivery: check documentation, inspect goods, record discrepancies, and label stock. (4h)
  • Picking and Packing Exercise — Learners pick orders using different methods, pack items appropriately, and generate dispatch documents. (4h)
  • Dispatch and Loading Practice — Learners plan a dispatch, coordinate with a carrier, and load goods onto a vehicle following safety procedures. (4h)
  • Returns and Discrepancy Handling — Learners process a customer return, inspect items, and resolve a discrepancy scenario using root cause analysis. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
