Course Outline

Day 1: Introduction to Financial Operations in Freight Forwarding

Objectives:
• Understand the role of financial operations within freight forwarding
• Identify key financial documents used in international trade
• Explain the importance of accurate financial record-keeping
• Differentiate between various payment terms (e.g., L/C, CAD, open account)
• Recognize the impact of exchange rates on freight forwarding finances

Topics:
• Overview of freight forwarding and financial operations
• Key financial documents: invoices, bills of lading, packing lists, certificates of origin
• Payment methods and terms in international trade
• Introduction to currency exchange and hedging
• Basic accounting principles for freight forwarders

Day 2: Costing and Pricing in Freight Forwarding

Objectives:
• Calculate total landed costs for shipments
• Develop pricing strategies for freight forwarding services
• Understand the components of freight rates (ocean, air, surface)
• Apply markups and margins correctly
• Analyze cost structures to ensure profitability

Topics:
• Components of freight costs: transport, insurance, customs, handling
• Methods for calculating landed costs
• Pricing models: cost-plus, market-based, value-based
• Understanding profit margins and break-even analysis
• Quoting and re-quoting processes

Day 3: Invoicing, Billing, and Revenue Management

Objectives:
• Prepare accurate invoices for freight forwarding services
• Manage billing cycles and credit terms
• Handle discrepancies and adjustments in billing
• Implement effective revenue recognition practices
• Use accounting software for invoicing and tracking

Topics:
• Invoice creation: details, formats, and legal requirements
• Billing cycles: prepaid, collect, third-party
• Managing credit and collections
• Revenue recognition principles (IFRS 15)
• Using TMS and accounting systems for billing

Day 4: Financial Risk Management and Compliance

Objectives:
• Identify financial risks in freight forwarding (currency, credit, fraud)
• Apply risk mitigation strategies (hedging, insurance, credit checks)
• Ensure compliance with tax and customs regulations
• Understand Incoterms and their financial implications
• Manage cash flow effectively

Topics:
• Currency risk management: forward contracts, options
• Credit risk assessment and credit insurance
• Tax compliance: VAT, duties, and tax exemptions
• Incoterms 2020 and financial responsibilities
• Cash flow forecasting and management

Day 5: Integrated Financial Operations and Case Studies

Objectives:
• Synthesize all financial operations into a cohesive workflow
• Analyze real-world case studies of financial transactions
• Apply best practices for financial reporting and auditing
• Develop strategies for continuous improvement in financial operations
• Prepare for the unit standard assessment

• End-to-end financial process mapping
• Case studies: complex multi-modal shipments
• Financial reporting and key performance indicators (KPIs)
• Internal controls and audit readiness
• Review and assessment preparation

Overview

Practical sessions are essential to apply financial concepts to real-world freight forwarding scenarios. Learners will use simulated data and software to practice costing, pricing, invoicing, and risk management, ensuring they can perform these tasks competently in the workplace.

Practical Activities
  • Practical 1: Costing and Pricing Exercise — Using provided shipment data, calculate landed costs and develop competitive pricing quotes for different trade lanes. (4h)
  • Practical 2: Invoicing and Billing Simulation — Create invoices for various shipment scenarios using a freight forwarding software simulation, handling adjustments and credit notes. (4h)
  • Practical 3: Financial Risk Management Workshop — Analyze case studies to identify financial risks and propose mitigation strategies, including currency hedging and credit insurance. (3h)
  • Practical 4: Integrated Financial Operations Project — Work in teams to manage the complete financial cycle of a simulated international shipment, from costing to final reconciliation. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
