Description

This course equips extension practitioners with the skills to apply best practice principles, mentor colleagues, deliver effective training, and ensure accountability in extension services. Participants will learn to establish mentoring relationships, design training interventions, and implement accountability mechanisms to enhance service delivery.

Target Audience

Extension officers, agricultural advisors, community development workers, and other professionals involved in extension services who seek to improve their mentoring, training, and accountability practices.

Prerequisites

None — open enrollment. However, participants should be currently involved in extension work or have a background in agricultural or community development.

Course Outline

Day 1: Foundations of Mentoring and Accountability

Objectives:
• Understand the core concepts of mentoring and accountability in extension.
• Identify the roles and responsibilities of a mentor in agricultural extension.
• Recognise the importance of accountability in achieving extension outcomes.
• Differentiate between mentoring, coaching, and other support roles.

• Definitions: mentoring, accountability, extension.
• Historical context and evolution of mentoring in agriculture.
• Key principles of effective mentoring.
• Accountability frameworks in extension services.
• Distinguishing mentoring from coaching, counselling, and training.
• Case studies: successful mentoring models.

Day 2: Communication and Relationship Building

Objectives:
• Develop effective communication skills for mentoring.
• Build trust and rapport with mentees.
• Apply active listening and questioning techniques.
• Navigate cross-cultural and hierarchical dynamics.

Topics:
• Verbal and non-verbal communication in mentoring.
• Active listening and empathetic responses.
• Questioning techniques: open, closed, probing, reflective.
• Building trust and confidentiality.
• Cultural sensitivity and diversity considerations.
• Managing power dynamics and conflicts.

Day 3: Goal Setting and Action Planning

Objectives:
• Assist mentees in setting SMART goals.
• Develop structured action plans for accountability.
• Use tools like mentoring agreements and progress logs.
• Align goals with extension programme objectives.

• SMART goal framework (Specific, Measurable, Achievable, Relevant, Time-bound).
• Creating mentoring agreements.
• Action planning templates and techniques.
• Monitoring progress and adjusting plans.
• Linking individual goals to organisational outcomes.
• Accountability check-ins and reporting.

Day 4: Mentoring Techniques and Models

Objectives:
• Apply various mentoring models (e.g., GROW, CLEAR).
• Facilitate reflective practice and experiential learning.
• Use feedback effectively for development.
• Adapt mentoring style to mentee needs.

• Overview of mentoring models: GROW, CLEAR, Situational Mentoring.
• Reflective practice: Kolb’s learning cycle.
• Giving and receiving constructive feedback.
• Mentoring styles: directive, facilitative, collaborative.
• Adapting to mentee learning preferences.
• Handling challenging mentoring conversations.

Day 5: Accountability Systems and Reporting

Objectives:
• Design accountability mechanisms for extension projects.
• Use data and evidence to track progress.
• Understand reporting requirements and ethical obligations.
• Integrate accountability into organisational culture.

Topics:
• Accountability frameworks: results-based management.
• Developing key performance indicators (KPIs).
• Data collection methods for mentoring outcomes.
• Reporting formats and frequency.
• Ethical considerations: confidentiality, conflicts of interest.
• Case studies: accountability failures and successes.

Day 6: Evaluation and Continuous Improvement

Objectives:
• Evaluate mentoring programme effectiveness.
• Use evaluation findings to improve practice.
• Facilitate mentee self-assessment and reflection.
• Plan for sustainability and scaling.

• Evaluation models: Kirkpatrick, logic models.
• Tools: surveys, interviews, focus groups.
• Analysing qualitative and quantitative data.

Day 7: Integration, Action Planning and Certification

Objectives:
• Synthesise learning into a personal mentoring framework.
• Develop an action plan for implementing mentoring post-course.
• Present and peer-review mentoring plans.
• Prepare for unit standard assessment.

• Creating a personal mentoring philosophy statement.
• Drafting a post-course implementation plan.
• Peer review and constructive critique.

Practicals

20 hours of practicals To be conducted online or on-campus or in-house
Overview

Practical sessions allow learners to apply mentoring techniques in simulated and real extension contexts. These hands-on activities build confidence in communication, goal setting, feedback, and accountability reporting.

Practical Activities
  • Role-Play: Initial Mentoring Session — Learners pair up to conduct a 30-minute initial mentoring session, practicing rapport building, active listening, and goal setting. (4h)
  • Mock Accountability Review — Learners simulate a quarterly accountability review, using progress logs and KPIs to discuss achievements and challenges. (4h)
  • Feedback and Reflection Workshop — Learners practice giving and receiving feedback using the SBI model (Situation-Behaviour-Impact) in small groups. (4h)
  • Design an Accountability Dashboard — Learners design a simple dashboard (using paper or digital tools) to track mentoring outcomes and report to stakeholders. (4h)
  • Final Mentoring Simulation and Assessment — Learners conduct a full mentoring session (30 min) followed by a 15-minute debrief, assessed against unit standard criteria. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).

  • If you scored under 50% you can sit the final test again at the next scheduled session at no extra cost.
