This course equips learners with the ability to use written and verbal communication effectively for varied purposes in extension and development contexts. Participants will learn to adapt their communication style to different audiences, purposes, and situations, ensuring clarity and impact in their professional interactions.

Target Audience

Extension officers, development practitioners, field workers, and any professionals who need to communicate effectively with diverse stakeholders in community or agricultural development settings.

Prerequisites

None — open enrollment. However, learners should have basic literacy and numeracy skills.

Course Outline

Day 1: Introduction to Communication in Extension and Development

Objectives:
• Understand the role of communication in extension and development contexts
• Identify key communication models and theories
• Recognize barriers to effective communication
• Explore the SAQA unit standard requirements

• Overview of extension and development communication
• Communication models: Shannon-Weaver, Berlo, Schramm
• Barriers to communication: cultural, linguistic, psychological
• Introduction to Unit Standard 253019
• Importance of audience analysis

Day 2: Verbal Communication Skills

Objectives:
• Apply active listening techniques
• Use clear and concise verbal expression
• Adapt language for diverse audiences
• Practice questioning and paraphrasing

• Active listening: techniques and benefits
• Verbal clarity: tone, pace, vocabulary
• Questioning skills: open, closed, probing
• Paraphrasing and summarizing
• Role-play exercises

Day 3: Non-Verbal Communication

Objectives:
• Interpret body language and gestures
• Understand the impact of facial expressions and eye contact
• Use non-verbal cues to enhance verbal messages
• Recognize cultural differences in non-verbal communication

• Body language: posture, gestures, proximity

Day 4: Written Communication Basics

• Write clear and structured documents
• Use appropriate grammar, spelling, and punctuation
• Adapt writing style for different audiences

Day 5: Reports and Proposals

Day 6: Letters, Emails, and Memos

• Apply netiquette in electronic communication
• Tailor correspondence to recipients

• Memo format and purpose
• Netiquette rules

Day 7: Visual Communication and Presentations

Objectives:
• Design effective visual aids
• Use presentation software appropriately
• Integrate visuals with verbal delivery
• Avoid common presentation pitfalls

• Using flip charts and handouts
• Presentation software tips

Day 8: Group Communication and Facilitation

• Facilitate group discussions effectively
• Manage group dynamics and conflict

Day 9: Cross-Cultural Communication

Day 10: Communication in Extension Programs

Objectives:
• Develop communication strategies for extension programs
• Use appropriate channels for different stakeholders
• Monitor and evaluate communication effectiveness
• Integrate communication with program goals

• Channel selection: face-to-face, mass media, ICT

Day 11: Persuasion and Advocacy

• Handle objections and resistance

Day 12: Integration and Assessment

Practicals

48 hours of practicals To be conducted online or on-campus or in-house
Overview

Practicals provide hands-on experience in applying written and verbal communication skills in extension contexts. Learners will engage in role-plays, drafting documents, and delivering presentations to reinforce theoretical knowledge.

Practical Activities
  • Verbal Communication and Role-Play — Learners participate in simulated extension scenarios, practicing active listening, questioning, and adapting language to diverse audiences. (12h)
  • Written Document Drafting — Learners draft reports, proposals, letters, and emails based on real-world extension scenarios, with peer and facilitator review. (16h)
  • Presentation and Facilitation — Learners prepare and deliver a short presentation with visual aids, and facilitate a group discussion on a development topic. (12h)
  • Integrated Communication Plan — Learners develop a comprehensive communication plan for an extension program, integrating all skills learned. (8h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
