This course equips motor retail professionals with the skills to provide, use, and manage information and information systems effectively within a motor retail business environment. Participants will learn to leverage data and technology to support operational decisions, improve customer service, and enhance business performance.

Target Audience

This course is designed for motor retail managers, sales and service advisors, dealership administrators, and other personnel responsible for handling information and using information systems in a motor retail setting.

Prerequisites

None — open enrollment. However, basic computer literacy and familiarity with motor retail operations are advantageous.

Course Outline

Day 1: Introduction to Information Systems in Motor Retail

Objectives:
• Define information systems and their role in motor retail.
• Identify key components of an IS: hardware, software, data, procedures, people.
• Explain how IS support business processes in dealerships.
• Describe the regulatory and SAQA context for IS management.

Topics:
• Overview of information systems.
• Types of IS: transaction processing, management information, decision support.
• IS in motor retail: sales, service, parts, finance.
• Stakeholders and users in a dealership.
• Ethical and legal considerations (POPIA, CPA).
• Unit standard 243354 outcomes.

Day 2: Data Management and Database Concepts

Objectives:
• Understand data hierarchy: bits, fields, records, files, databases.
• Explain database models (relational, NoSQL) relevant to motor retail.
• Describe data integrity, security, and backup procedures.
• Apply basic SQL queries to retrieve dealership data.

Topics:
• Data vs information vs knowledge.
• Database management systems (DBMS).
• Entity-relationship diagrams for motor retail (customers, vehicles, invoices).
• Data quality and cleansing.
• Backup and recovery strategies.
• Introduction to SQL: SELECT, INSERT, UPDATE, DELETE.
• Hands-on: Query sample dealership database.

Day 3: Business Processes and IS Integration

Objectives:
• Map core motor retail processes: sales, service, parts, finance.
• Analyse how IS integrate these processes.
• Evaluate the role of ERP systems in dealerships.
• Identify bottlenecks and improvement opportunities using IS.

Topics:
• Process mapping techniques (flowcharts, swimlanes).
• Customer relationship management (CRM) systems.
• Dealer management systems (DMS).
• Integration of sales, service, and parts modules.
• Point-of-sale and inventory management.
• Case study: Process improvement at a dealership.
• Group exercise: Redesign a process with IS support.

Day 4: Systems Analysis and Design

Objectives:
• Explain the systems development life cycle (SDLC).
• Gather and document user requirements for an IS project.
• Create basic use cases and data flow diagrams.
• Compare development methodologies: waterfall, agile, DevOps.

Topics:
• SDLC phases: planning, analysis, design, implementation, maintenance.
• Requirements gathering: interviews, surveys, observation.
• Use case diagrams for motor retail scenarios.
• Data flow diagrams (context and level 0).
• Agile vs waterfall: pros and cons.
• Prototyping and user acceptance testing.
• Workshop: Write user stories for a new service booking system.

Day 5: IT Governance, Risk, and Compliance

Objectives:
• Understand IT governance frameworks (COBIT, ITIL).
• Identify information security risks in motor retail.
• Apply risk assessment methodologies.
• Ensure compliance with POPIA and industry regulations.

• Principles of IT governance.
• COBIT 5 framework overview.
• IT service management with ITIL.
• Information security: threats, vulnerabilities, controls.
• Risk assessment: likelihood and impact matrix.
• Data privacy and POPIA requirements.
• Business continuity and disaster recovery.

Day 6: Emerging Technologies and Digital Transformation

Objectives:
• Explore emerging technologies: IoT, AI, blockchain in motor retail.
• Assess digital transformation opportunities.
• Evaluate cloud computing benefits and risks.
• Develop a basic digital strategy for a dealership.

Topics:
• Internet of Things (IoT) in vehicle telematics.
• Artificial intelligence for predictive maintenance and sales.
• Blockchain for vehicle history and supply chain.
• Cloud computing: SaaS, PaaS, IaaS.
• Digital transformation framework.
• Change management and user adoption.
• Group project: Propose a digital innovation for a dealership.

Day 7: Implementation, Evaluation, and Capstone

Objectives:
• Plan an IS implementation project.
• Develop key performance indicators (KPIs) for IS success.
• Conduct a post-implementation review.
• Present a comprehensive IS management plan for a motor retail business.

Topics:
• Project management basics (Gantt charts, milestones).
• Change management strategies.
• Training and support for end-users.
• Measuring IS effectiveness: KPIs and balanced scorecard.
• Post-implementation audit.
• Continuous improvement.
• Capstone presentation: IS management plan.

Overview

Practical sessions provide hands-on experience with database querying, process mapping, system analysis, and risk assessment tools. Learners apply concepts to real-world motor retail scenarios, reinforcing theoretical knowledge through supervised exercises.

Practical Activities
  • Database Querying Exercise — Learners use SQL to query a sample dealership database, retrieving customer, vehicle, and sales data. (4h)
  • Process Mapping Workshop — In groups, learners map a motor retail process (e.g., vehicle sales or service intake) using flowcharts and identify IS integration points. (4h)
  • Systems Analysis Simulation — Learners conduct a simulated requirements gathering session for a new service scheduling system, producing use cases and a data flow diagram. (5h)
  • Risk Assessment Exercise — Using a case study of a dealership, learners identify information security risks, assess their impact, and propose controls. (4h)
  • Capstone Project: IS Management Plan — Learners develop and present an IS management plan for a motor retail business, covering strategy, implementation, and evaluation. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
