This course provides a foundational understanding of the core concepts, terminology, and ethical principles that underpin archives and records management. Participants will gain the knowledge required to apply these principles in a South African context, ensuring compliance with relevant legislation and best practices. The course prepares learners to manage records and archives with integrity, accountability, and professionalism.

Target Audience

This course is designed for records clerks, archivists, administrative officers, and information managers who need to understand the fundamental concepts and ethical standards of archives and records management. It is also suitable for professionals transitioning into records management roles.

Course Outline

Day 1: Foundations of Archives and Records Management

Objectives:
• Understand the core concepts, principles, and legal framework governing archives and records management in South Africa.
• Differentiate between records, archives, and other information assets.
• Identify the key legislation and standards relevant to records management.
• Explain the records lifecycle and its phases.

Topics:
• Introduction to archives and records management: definitions and scope
• The records lifecycle: creation, maintenance, use, and disposal
• Legal and regulatory framework: National Archives and Records Service of South Africa Act, Promotion of Access to Information Act
• Records classification and filing systems
• Role of records managers and archivists
• Ethical considerations and professional standards

Day 2: Records Management Processes and Systems

Objectives:
• Apply records management processes including appraisal, retention, and disposal.
• Develop a records retention schedule.
• Implement filing and indexing techniques for efficient retrieval.
• Understand the use of electronic document and records management systems (EDRMS).

Topics:
• Appraisal and selection of records for archival value
• Retention scheduling and disposal procedures
• Filing systems: alphabetical, numerical, alphanumeric, and subject-based
• Indexing and metadata standards
• Introduction to electronic records management
• EDRMS: features, benefits, and implementation considerations
• Disaster preparedness for records

Day 3: Preservation, Access, and Practical Integration

Objectives:
• Understand preservation and conservation techniques for physical and digital records.
• Develop policies for access and security of records.
• Integrate records management into organisational workflows.
• Prepare for a records management audit.

Topics:
• Preservation of physical records: environmental controls, handling, and storage
• Digital preservation: formats, migration, and emulation
• Access policies: confidentiality, privacy, and public access
• Security measures: physical and cybersecurity
• Records management audits and compliance
• Change management and training for records management
• Case studies and best practices

Practicals

8 hours of practicals To be conducted online or on-campus or in-house Venue: Shenzhen, China
Overview

The practicals enable learners to apply theoretical knowledge to real-world scenarios. Through hands-on exercises, learners will classify records, create retention schedules, use filing systems, and perform basic preservation tasks, reinforcing skills essential for effective records management.

Practical Activities
  • Practical 1: Records Classification and Filing — Learners classify a set of sample records using a standard classification scheme and physically file them in a simulated filing system. (2h)
  • Practical 2: Developing a Retention Schedule — Learners analyse a sample records inventory and create a retention schedule, including disposal actions and retention periods. (2h)
  • Practical 3: Electronic Records Management Exercise — Learners use a simulated EDRMS to capture, index, and retrieve electronic documents, applying metadata standards. (2h)
  • Practical 4: Preservation Techniques — Learners perform basic preservation tasks: rehousing documents in acid-free folders, assessing environmental conditions, and creating a simple digital backup. (2h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).

  • Each certificate is a branded PDF with the delegate's name, the course title, the unit standard ID, NQF level, credits, and the date of issue.
  • You can download or print your certificate from your LMS dashboard at any time after issue — there's no reissue fee and no expiry date.
  • If you scored under 50% you can sit the final test again at the next scheduled session at no extra cost.
