This course equips learners with the skills to manage tangible collections by implementing proper documentation, classification, and retrieval systems. Participants will learn to maintain accurate records of physical assets, ensuring efficient storage, tracking, and retrieval in compliance with organisational and regulatory standards.

Target Audience

Records managers, archivists, librarians, and administrative staff responsible for managing physical collections such as documents, artefacts, or library materials in corporate, government, or heritage institutions.

Prerequisites

None — open enrollment. However, learners should have basic computer literacy and familiarity with office procedures.

Day 1: Introduction to Tangible Collections Records Management

• Understand metadata schemas and their application.
• Differentiate between descriptive, administrative, and structural metadata.
• Create consistent documentation using templates.

• International standards: Dublin Core, CIDOC-CRM, SPECTRUM.

Day 3: Cataloguing and Inventory Management

Day 4: Condition Reporting and Preservation Documentation

• Conduct condition assessments and create reports.

• Understand environmental monitoring records.
• Integrate condition data into collection management.

• Assessing physical state: damage, deterioration, stability.

Day 5: Acquisition and Accessioning Documentation

Objectives:
• Document acquisition processes legally and ethically.
• Manage accessioning procedures.
• Understand provenance and title documentation.
• Handle deeds of gift, loans, and purchase records.

Day 6: Deaccessioning and Disposal Documentation

Day 7: Retrieval Systems and Search Strategies

• Design efficient retrieval systems for tangible collections.
• Develop search strategies using metadata.
• Understand indexing and thesauri.
• Use controlled vocabularies for consistency.

• Retrieval system types: manual, digital, hybrid.
• Indexing principles and thesauri.
• Controlled vocabularies: Art & Architecture Thesaurus, local lists.
• Search strategies: keyword, Boolean, faceted.
• Practical: searching a sample database.

Day 8: Database Management for Collections Records

• Understand database structure and data entry standards.
• Perform data migration and backup procedures.
• Ensure data integrity and security.

Day 9: Digital Records and Digitisation Documentation

Day 10: Access and Use Documentation

• Manage rights and reproductions documentation.
• Handle requests for access and loans.
• Ensure compliance with data protection laws.

Day 11: Records Retention, Disposal, and Archiving

• Manage disposal of records according to policy.

Day 13: Integration, Best Practices, and Final Assessment

This course is made up of exercises and case studies delivered alongside the theory — no separate practical sessions are required to complete it.

Summatives

Each delegate is assessed continuously throughout the course and a final summative test at the end.

Daily Exercises — 30%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 30% to the final total.

Final Test — 70%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 70% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Daily Average 30% + Final Test 70%).
