Day 1: Introduction to Design Specifications

• Recognise the regulatory and standards framework (e.g., SANS, SAQA)
• Outline the course structure and assessment requirements

• Stakeholder analysis: client, designer, contractor, regulator
• Types of specifications: prescriptive, performance, proprietary
• Overview of relevant South African standards and legislation
• Course outcomes and assessment criteria

Day 2: Fundamental Principles of Specification Writing

Objectives:
• Apply principles of clarity, accuracy, and completeness
• Use correct terminology and avoid ambiguity
• Structure specifications logically
• Reference standards and codes correctly
• Understand the legal implications of specifications

• Principles of clear technical writing
• Common pitfalls: ambiguous language, contradictions, omissions
• Structure: scope, normative references, definitions, requirements

Day 3: Research and Information Gathering

Objectives:
• Identify sources of technical information
• Conduct stakeholder interviews and site visits
• Analyse existing specifications and project documents
• Evaluate product data sheets and manufacturer information
• Document research findings systematically

• Sources: project briefs, drawings, site conditions, regulations
• Interview techniques for eliciting requirements
• Reviewing previous specifications for lessons learned
• Evaluating technical data from suppliers
• Creating a research log and requirements matrix

Day 4: Writing Technical Descriptions and Requirements

Objectives:
• Write clear technical descriptions of materials, products, and systems
• Define performance criteria and acceptance limits
• Specify quality and workmanship standards
• Include installation and commissioning requirements
• Ensure traceability and testability of requirements

• Describing materials: composition, dimensions, finishes
• Performance requirements: strength, durability, environmental conditions
• Quality standards: references to SANS, ISO, or project-specific
• Installation methods and sequence
• Commissioning and testing criteria

Day 5: Incorporating Drawings and Schedules

Objectives:
• Coordinate text specifications with drawings and schedules
• Use cross-referencing techniques
• Create and interpret specification schedules
• Ensure consistency across all project documents
• Manage revisions and version control

• Relationship between specifications and drawings
• Cross-referencing: clause numbers, drawing numbers, schedules
• Types of schedules: finishes, door, window, equipment
• Consistency checks and clash detection
• Document control: numbering, revision tracking, approval

Day 6: Advanced Specification Techniques

Objectives:
• Write specifications for complex systems (e.g., MEP, structural)
• Use performance-based specifications effectively
• Incorporate sustainability and green building requirements
• Address life-cycle cost and maintainability
• Apply risk-based specification writing

Day 8: Review, Quality Assurance, and Approval

• Obtain formal approval and sign-off
• Manage non-conformances and revisions

Day 9: Legal and Contractual Aspects

• Ensure compliance with procurement regulations

Day 10: Practical Application and Case Studies

Day 11: Assessment and Course Wrap-Up

• Complete the final assessment (written and practical)

Practicals

Overview

The practicals allow learners to apply specification writing techniques to simulated real-world scenarios, including researching requirements, drafting specification clauses, using software tools, and conducting peer reviews. These hands-on sessions reinforce theoretical knowledge and build confidence in producing professional design specifications.

Practical Activities
  • Practical 1: Research and Requirements Gathering — Learners work in teams to gather technical requirements from a project brief, drawings, and stakeholder interviews (simulated). They produce a requirements matrix and research log. (8h)
  • Practical 2: Drafting Specification Clauses — Using the research from Practical 1, learners write clear specification clauses for materials, installation, and performance criteria, including cross-references to drawings and schedules. (8h)
  • Practical 3: Software-Based Specification Development — Learners use specification management software (e.g., NBS) to create a master specification template, automate cross-referencing, and collaborate on a shared document. (8h)
  • Practical 4: Peer Review and Finalisation — Learners conduct peer reviews using quality checklists, incorporate feedback, and finalise a specification package. They present their work and defend their decisions. (8h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
