This course equips learners with the skills to manage physical and electronic archives in compliance with South African legislative and regulatory requirements. Participants will learn to classify, store, retrieve, and dispose of records systematically, ensuring accountability and efficiency in information management. Course Outline

Day 1: Introduction to Archive Management

Objectives:
• Understand the purpose and principles of archive management
• Identify different types of archives and their characteristics
• Recognise the legal and regulatory framework governing archives in South Africa
• Explain the role of archives in organisational governance and heritage preservation

Topics:
• Definition and scope of archive management
• Types of archives: public, private, digital, physical
• Legal framework: National Archives and Records Service of South Africa Act
• Ethical considerations in archival practice
• Overview of archival lifecycle: creation, maintenance, disposal
• Key terminology and concepts
• Roles and responsibilities of an archivist
• Introduction to archival standards and best practices

Day 2: Appraisal and Acquisition

Objectives:
• Apply appraisal criteria to determine archival value
• Develop acquisition policies and procedures
• Conduct surveys and assessments of records
• Manage legal transfer of records into archival custody

• Appraisal theories and methodologies
• Criteria for archival value: administrative, fiscal, legal, historical
• Acquisition strategies: proactive vs reactive
• Surveying records: techniques and tools
• Legal transfer agreements and documentation
• Accessioning procedures
• Deaccessioning and disposal
• Case studies on appraisal decisions

Day 3: Arrangement and Description

Objectives:
• Apply archival principles of arrangement (provenance, original order)
• Create finding aids and descriptive metadata
• Use archival description standards (e.g., ISAD(G))
• Manage digital and physical arrangement challenges

• Principles of arrangement: provenance, original order, series
• Levels of arrangement: fonds, series, files, items
• Descriptive standards: ISAD(G), EAD, Dublin Core
• Creating finding aids: inventories, catalogues, guides
• Metadata schemas for archives
• Arrangement of digital records and hybrid collections
• Physical preservation considerations during arrangement
• Practical exercises in arrangement and description

Day 4: Preservation and Conservation

Objectives:
• Identify environmental and physical risks to archival materials
• Implement basic preservation strategies
• Understand conservation techniques for various media
• Develop a disaster preparedness plan

Topics:
• Causes of deterioration: environmental, biological, chemical, physical
• Environmental monitoring: temperature, humidity, light
• Storage solutions: enclosures, shelving, boxes
• Handling procedures for fragile materials
• Conservation treatments: cleaning, repair, encapsulation
• Digital preservation: formats, migration, emulation
• Disaster planning: risk assessment, response, recovery
• Pest management and integrated pest management

Day 5: Access, Outreach, and Digital Archives

Objectives:
• Develop access policies and procedures
• Design outreach programmes to promote archival use
• Manage digital archives and electronic records
• Evaluate archival services and user needs

Topics:
• Access policies: restrictions, privacy, copyright
• Reading room procedures and user registration
• Reference services and user assistance
• Outreach strategies: exhibitions, publications, social media
• Digital archives: digitisation workflows and metadata
• Electronic records management: email, databases, websites
• User studies and evaluation of archival services
• Future trends in archive management

Practicals

16 hours of practicals To be conducted online or on-campus or in-house
Overview

Hands-on practicals reinforce theoretical concepts by allowing learners to apply appraisal, arrangement, description, preservation, and access procedures to real archival collections. These sessions ensure learners develop competence in handling materials, using archival software, and implementing preservation techniques.

Practical Activities
  • Appraisal and Acquisition Simulation — Learners evaluate a sample records series against appraisal criteria, draft an acquisition proposal, and complete an accession form. (4h)
  • Arrangement and Description Exercise — Learners physically arrange a small collection of documents and create a finding aid using archival description standards. (4h)
  • Preservation Assessment and Conservation — Learners assess the condition of sample materials, implement basic preservation measures, and perform simple conservation tasks. (4h)
  • Digital Archives Workflow and Access — Learners digitise a set of documents, create metadata, and set up an online access system for the digital collection. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).

  • Each certificate is a branded PDF with the delegate's name, the course title, the unit standard ID, NQF level, credits, and the date of issue.
  • You can download or print your certificate from your LMS dashboard at any time after issue — there's no reissue fee and no expiry date.
  • If you scored under 50% you can sit the final test again at the next scheduled session at no extra cost.
