This course equips participants with the knowledge and skills to effectively manage physical and digital records throughout their lifecycle, from creation to disposal. It covers the principles of document control, records management systems, and compliance with legal and regulatory requirements, ensuring that participants can implement best practices in their organizations.

Course Outline

Day 1: Introduction to Document Control and Records Management

Objectives:
• Understand the importance of document control and records management in organisational governance
• Define key terminology and concepts related to documents and records
• Identify the regulatory and standards framework governing document control and records management in South Africa
• Recognise the roles and responsibilities of a document controller and records manager

Topics:
• Overview of document control and records management
• Definitions: documents vs records, versions, revisions, metadata
• Benefits of effective document control and records management
• Legal and regulatory requirements (e.g., POPIA, PAIA, King IV)
• International standards: ISO 15489, ISO 9001 (clause 7.5)
• Roles and responsibilities in document control and records management
• Introduction to the records lifecycle
• Challenges in document control and records management

Day 2: Document Classification and Metadata

Objectives:
• Classify documents and records according to organisational needs
• Apply metadata standards to ensure effective retrieval and management
• Develop a file plan and taxonomy for document organisation
• Implement naming conventions and version control principles

• Principles of classification and taxonomy
• Developing a file plan
• Metadata standards and schemas
• Naming conventions and version control

Day 3: Document Creation, Review, and Approval Workflows

Objectives:
• Design and document workflows for document creation, review, and approval
• Apply change control procedures for document revisions
• Ensure document accuracy, consistency, and compliance
• Use workflow automation tools to streamline processes

• Document creation and authoring best practices

Day 4: Records Management Systems and Storage

Objectives:
• Evaluate and select appropriate records management systems (paper-based, electronic, hybrid)
• Implement storage and retrieval strategies for physical and electronic records
• Ensure the security, integrity, and accessibility of records
• Apply retention and disposition policies

Topics:
• Overview of records management systems (RMS)
• Electronic document and records management systems (EDRMS)
• Scanning and digitisation of physical records
• Storage solutions: on-premise, cloud, and hybrid
• Security and access controls
• Disaster recovery and business continuity
• Retention schedules and disposition
• Practical exercise: evaluating RMS software

Day 5: Auditing, Compliance, and Continuous Improvement

Objectives:
• Conduct internal audits of document control and records management processes
• Ensure compliance with regulatory and standards requirements
• Identify areas for improvement and implement corrective actions
• Develop a culture of continuous improvement in information governance

• Audit checklists and reporting
• Non-conformance and corrective action
• Compliance monitoring and reporting
• Continuous improvement methodologies (e.g., PDCA)

Overview

Practical sessions are essential to apply document control and records management principles in realistic scenarios. Learners will engage in hands-on activities such as developing classification schemes, mapping workflows, and evaluating records management systems, ensuring they can implement these practices in their own organisations.

Practical Activities
  • Practical 1: Classification and File Plan Development — Learners will create a classification scheme and file plan for a simulated organisation using provided sample documents. (4h)
  • Practical 2: Workflow Mapping and Change Control Simulation — Learners will map a document review and approval workflow and simulate a change control process for a document revision. (4h)
  • Practical 3: Records Management System Evaluation — Learners will evaluate different records management software (using case studies and demos) and recommend a suitable system for a given scenario. (4h)
  • Practical 4: Internal Audit Simulation — Learners will conduct a mock internal audit of a document control process using provided checklists and report findings. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
