Description

This course equips learners with the knowledge and skills to effectively onboard and induct new employees into an organisation. It covers the legal, procedural, and relational aspects of employee integration to ensure a smooth transition and long-term retention.

Course Outline

Day 1: Foundations of Effective Onboarding

Objectives:
• Understand the purpose and benefits of structured onboarding and induction.
• Identify key stakeholders and their roles in the onboarding process.
• Recognize legal and compliance requirements for new employees.
• Differentiate between onboarding, orientation, and induction.

Topics:
• Definition and importance of onboarding and induction.
• Overview of the employee lifecycle and onboarding's role.
• Legal framework: Basic Conditions of Employment Act, Labour Relations Act, and sector-specific regulations.
• Roles and responsibilities: HR, managers, mentors, and peers.
• The psychological contract and employee engagement.
• Common pitfalls in unstructured onboarding.

Day 2: Designing the Onboarding Programme

Objectives:
• Develop a structured onboarding plan aligned with organisational goals.
• Create a pre-arrival checklist and first-day schedule.
• Design induction content covering company culture, policies, and procedures.
• Incorporate diversity and inclusion principles into the programme.

Topics:
• Pre-onboarding: communication, documentation, and preparation.
• First-day essentials: welcome, workspace setup, and introductions.
• Company culture, vision, mission, and values.
• Policies: code of conduct, health and safety, data protection.
• Diversity, equity, and inclusion (DEI) in onboarding.
• Using technology: onboarding software, portals, and e-learning.
• Documentation: employment contracts, tax forms, and benefits enrollment.
• Setting expectations: performance standards and probationary periods.

Day 3: Delivering Engaging Induction Sessions

Objectives:
• Facilitate interactive induction sessions using adult learning principles.
• Apply effective communication and presentation techniques.
• Use storytelling and real-life scenarios to reinforce learning.
• Manage diverse learning styles and address common challenges.

Topics:
• Adult learning principles and their application in induction.
• Facilitation skills: active listening, questioning, and feedback.
• Presentation techniques: visual aids, handouts, and demonstrations.
• Storytelling to convey company history and values.
• Role-play and scenario-based learning.
• Handling difficult questions and resistant learners.
• Time management and pacing of sessions.
• Evaluating learner engagement during sessions.

Day 4: Mentoring, Buddy Systems, and Social Integration

Objectives:
• Establish effective mentoring and buddy programmes.
• Foster social integration and belonging among new hires.
• Support new employees through the first 90 days.
• Monitor progress and provide constructive feedback.

Topics:
• Designing a buddy system: selection, training, and responsibilities.
• Mentoring vs. coaching: roles and boundaries.
• Social integration strategies: team lunches, networking events.
• Check-in schedules: weekly meetings and milestone reviews.
• Providing constructive feedback and addressing concerns.
• Supporting remote/hybrid employees through virtual integration.
• Building psychological safety and trust.
• Recognising and rewarding contributions.

Day 5: Evaluation, Continuous Improvement, and Practical Integration

Objectives:
• Measure the effectiveness of the onboarding programme using KPIs.
• Collect and analyse feedback from new hires and stakeholders.
• Identify areas for improvement and implement changes.
• Develop an action plan for ongoing onboarding enhancement.
• Integrate all components into a comprehensive onboarding strategy.

Topics:
• Key performance indicators: time-to-productivity, retention, satisfaction.
• Feedback collection methods: surveys, interviews, focus groups.
• Analysing data to identify trends and gaps.
• Continuous improvement cycle: plan-do-check-act.
• Updating content and processes based on feedback.
• Reporting to management and stakeholders.
• Creating a final onboarding programme document.
• Presentation of group projects: sample onboarding plans.

Practicals

Overview

Practicals enable learners to apply onboarding design and facilitation skills in simulated scenarios. Through role-play, programme development, and feedback exercises, learners gain hands-on experience in delivering effective induction sessions and creating onboarding materials.

Practical Activities
  • Design a Pre-Onboarding Checklist — Learners create a comprehensive pre-arrival checklist for a new employee, including documentation, equipment setup, and communication templates. (3h)
  • Facilitate a Mock Induction Session — In small groups, learners prepare and deliver a 20-minute induction session covering company culture, policies, or safety, followed by peer and trainer feedback. (5h)
  • Develop a Buddy System Guide — Learners design a buddy system framework, including selection criteria, training outline, and a buddy checklist for the first month. (3h)
  • Create an Onboarding Evaluation Survey — Learners design a feedback survey for new hires and managers to assess onboarding effectiveness, using Likert scales and open-ended questions. (2h)
  • Present a Comprehensive Onboarding Programme — Learners compile their work into a complete onboarding programme and present it to the class, defending their design choices. (3h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).

  • If you scored under 50% you can sit the final test again at the next scheduled session at no extra cost.
