Description

This course equips HR professionals and line managers with the knowledge and skills to conduct effective employee offboarding processes. It covers legal compliance, exit interviews, knowledge transfer, and final documentation to ensure a smooth and professional separation.

Course Outline

Day 1: Introduction to Offboarding and Legal Framework

Objectives:
• Understand the purpose and importance of structured offboarding.
• Identify legal and regulatory requirements for termination of employment.
• Recognise different types of employment termination (resignation, retirement, dismissal, retrenchment).
• Explain the role of the Basic Conditions of Employment Act and Labour Relations Act.
• Outline the consequences of non-compliance in offboarding.

• Overview of the employee lifecycle and offboarding phase.
• Key legislation: BCEA, LRA, Employment Equity Act.
• Types of termination and their legal implications.
• Notice periods, final pay, and certificate of service requirements.
• Confidentiality and restraint of trade considerations.
• Ethical and reputational aspects of offboarding.

Day 2: Offboarding Processes and Documentation

Objectives:
• Develop a step-by-step offboarding checklist.
• Prepare and manage termination documentation.
• Conduct exit interviews effectively.
• Handle final payroll and benefits administration.
• Ensure proper return of company property and data security.

Topics:
• Offboarding checklist: from resignation to final settlement.
• Documentation: termination letters, settlement agreements, clearance forms.
• Exit interview techniques and question design.
• Final payment calculations: leave pay, severance, notice pay.
• Benefits cessation: pension, medical aid, UIF submissions.
• Asset recovery and IT access revocation.

Day 3: Communication and Stakeholder Management

Objectives:
• Plan internal and external communication during offboarding.
• Manage team dynamics and morale after a departure.
• Address sensitive terminations with empathy and professionalism.
• Coordinate with HR, IT, finance, and line managers.
• Handle disputes or grievances arising from offboarding.

• Communication strategies for resignations and dismissals.
• Announcing departures: timing, audience, messaging.
• Supporting remaining employees: change management.
• Managing difficult conversations: retrenchment, poor performance.
• Stakeholder roles and handover procedures.
• Conflict resolution and grievance handling.

Day 4: Offboarding Technology and Data Security

Objectives:
• Identify IT assets and data associated with departing employees.
• Implement access revocation and data backup procedures.
• Ensure compliance with POPIA and data protection policies.
• Use offboarding software to automate workflows.
• Conduct a security audit post-departure.

Topics:
• IT asset inventory: laptops, phones, access cards.
• Account deactivation and password resets.
• Data backup, transfer, and deletion protocols.
• Legal requirements under POPIA.
• Offboarding automation tools and HRIS integration.
• Post-departure security review and risk assessment.

Day 5: Advanced Offboarding, Evaluation, and Continuous Improvement

Objectives:
• Analyse exit interview data to identify trends.
• Develop offboarding metrics and KPIs for HR.
• Implement improvements based on feedback and outcomes.
• Handle complex cases: mass retrenchment, executive departures.
• Create an offboarding policy and procedure manual.

Topics:
• Exit interview analysis: turnover drivers, engagement insights.
• Offboarding metrics: cost per exit, process compliance.
• Continuous improvement: updating checklists and templates.
• Mass retrenchment: section 189 and 189A processes.
• Executive offboarding: transition planning.
• Drafting and implementing an organisational offboarding policy.

Practicals

Overview

Practical sessions reinforce the theoretical content through role-plays, document drafting, software simulations, and case studies. Learners apply offboarding procedures in realistic scenarios to build competence and confidence.

Practical Activities
  • Role-play: Exit Interview — Learners pair up to conduct mock exit interviews, using provided scenarios. One plays the departing employee, the other the HR representative. (4h)
  • Document Drafting: Termination Letter and Clearance Form — Learners draft a termination letter for a resignation and a clearance form for asset return, using templates and legal requirements. (4h)
  • Software Simulation: Offboarding Workflow in HRIS — Using a simulated HRIS, learners process an offboarding: initiate workflow, assign tasks to IT and finance, and track completion. (4h)
  • Case Study: Handling a Retrenchment — Teams analyse a retrenchment scenario, plan the process (section 189), and present a communication and severance plan. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
