• Introduction to the standard mail cycle: receipt, processing, distribution, dispatch

Day 2: Mail Receipt and Verification Procedures

Objectives:
• Apply correct procedures for receiving incoming mail
• Verify mail against delivery documentation accurately
• Identify and handle discrepancies in mail deliveries
• Record receipt of mail using appropriate systems

• Procedures for accepting mail from postal services and couriers
• Checking delivery notes, waybills, and consignment notes
• Identifying and reporting shortages, damages, or incorrect items
• Time-stamping and logging incoming mail batches

• Identify and handle enclosures, attachments, and cheques
• Apply procedures for date-stamping and annotating mail

• Safe use of mail opening equipment (letter openers, slitters)
• Step-by-step procedure for opening envelopes and parcels
• Checking for and securing all contents and enclosures
• Special handling for cheques, legal documents, and confidential material
• Date-stamping, initialling, and applying internal control marks
• Procedures for damaged or suspicious mail items

Day 5: Addressing Systems and Directory Management

Objectives:
• Interpret various addressing formats correctly
• Use internal directories and contact lists to resolve addressing issues
• Update and maintain accurate addressing information
• Apply knowledge of postal codes and geographic routing

• Standard addressing formats for South Africa and international mail
• Using internal staff directories, department lists, and building plans
• Procedures for correcting, updating, and verifying address data
• Understanding South African postal codes and their significance
• Handling 'Return to Sender' and undeliverable mail

Day 6: Outgoing Mail Preparation and Procedures

This course is made up of exercises and case studies delivered alongside the theory — no separate practical sessions are required to complete it.

Summatives

Each delegate is assessed continuously throughout the course and a final summative test at the end.

Daily Exercises — 30%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 30% to the final total.

Final Test — 70%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 70% to the overall mark.

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Daily Average 30% + Final Test 70%).
