Description

This course equips learners with the fundamental skills to apply basic invoicing and accounting principles in a business environment. Participants will learn to process invoices, maintain financial records, and understand key accounting concepts to ensure accurate financial transactions and compliance with organisational policies.

Course Outline

Day 1: Introduction to Invoicing and Basic Accounting Concepts

Objectives:
• Understand the purpose and importance of invoicing in a business context.
• Identify key elements of an invoice and accounting cycle.
• Differentiate between cash and credit transactions.
• Record basic financial transactions using double-entry bookkeeping.

Topics:
• Overview of accounting: stakeholders, financial records, and legal requirements.
• The accounting equation: Assets = Liabilities + Equity.
• Elements of an invoice: header, line items, totals, VAT, and payment terms.
• Introduction to double-entry bookkeeping: debits and credits.
• Recording sales and purchases transactions.
• Understanding cash vs. credit transactions.
• Practical exercise: Create a simple invoice for a service rendered.

Day 2: Recording Transactions and Preparing Basic Financial Reports

Objectives:
• Record transactions in journals and post to ledgers.
• Prepare a trial balance and identify errors.
• Understand the purpose of a bank reconciliation.
• Generate a simple income statement and balance sheet.

Topics:
• The accounting cycle: from source documents to financial statements.
• Journals: sales, purchases, cash receipts, and cash payments.
• Ledgers and posting: general ledger and subsidiary ledgers.
• Trial balance: preparation and error detection.
• Bank reconciliation: purpose and steps.
• Introduction to financial statements: income statement and balance sheet.
• Practical exercise: Complete a bank reconciliation and prepare a trial balance.

Day 3: VAT, Invoicing Compliance, and Practical Application

Objectives:
• Calculate VAT and understand its impact on invoicing.
• Apply invoicing regulations and compliance requirements.
• Prepare final accounts and interpret basic financial information.
• Integrate all skills in a comprehensive case study.

Topics:
• VAT in South Africa: rates, input/output tax, and VAT invoices.
• Invoicing compliance: legal requirements, record keeping, and deadlines.
• Adjustments: accruals, prepayments, and depreciation.
• Preparing final accounts: income statement and balance sheet from trial balance.
• Interpreting financial statements: profitability and liquidity indicators.
• Comprehensive case study: from source documents to final accounts.
• Practical exercise: Complete a full accounting cycle for a small business.

Overview

Practical sessions are integral to this course, allowing learners to apply theoretical knowledge to realistic invoicing and accounting scenarios. Through hands-on exercises, learners will create invoices, record transactions, prepare reconciliations, and compile financial statements, building confidence and competence.

Practical Activities
  • Creating and Processing Invoices — Learners create invoices using sample source documents, including calculating VAT and applying payment terms. (2h)
  • Recording Transactions and Posting to Ledgers — Learners record a series of transactions in journals and post them to the general ledger. (3h)
  • Bank Reconciliation and Financial Statements — Learners perform a bank reconciliation and prepare an income statement and balance sheet from a trial balance. (2h)
  • Comprehensive Case Study: Full Accounting Cycle — Learners work through a complete accounting cycle for a small business, from source documents to financial statements. (2h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).

  • Each certificate is a branded PDF with the delegate's name, the course title, the unit standard ID, NQF level, credits, and the date of issue.
  • You can download or print your certificate from your LMS dashboard at any time after issue — there's no reissue fee and no expiry date.
  • If you scored under 50% you can sit the final test again at the next scheduled session at no extra cost.
