Course Outline

Day 1: Introduction to Stock Balance Management and Regulatory Framework

Objectives:
• Understand the purpose and scope of stock balance management in a distribution centre context.
• Identify the relevant legislative and regulatory requirements, including SAQA and industry standards.
• Explain the role of stock accuracy in operational efficiency and customer satisfaction.
• Recognise the key stakeholders and their responsibilities in stock management.
• Apply basic stock classification methods such as ABC analysis.

• Overview of distribution centre operations and stock management.
• Regulatory framework: SAQA unit standard 117897, OHS Act, and industry best practices.
• Principles of stock accuracy: cycle counting, variance analysis.
• Stock classification: ABC analysis, fast vs. slow movers.
• Roles and responsibilities: warehouse manager, stock controller, pickers.
• Documentation: stock sheets, bin cards, and inventory reports.
• Introduction to stock systems: manual vs. automated.

Day 2: Stock Receiving, Putaway, and Location Management

Objectives:
• Demonstrate correct procedures for receiving stock and verifying quantities and quality.
• Apply putaway strategies to optimise space and retrieval efficiency.
• Manage location systems and maintain accurate bin locations.
• Identify common receiving discrepancies and initiate corrective actions.
• Use documentation to record and track incoming stock.

• Receiving process: purchase orders, delivery notes, inspection.
• Putaway strategies: random, fixed, and zone-based.
• Location management: numbering systems, slotting, and replenishment.
• Handling discrepancies: overages, shortages, damages.
• Recording receipts: goods received notes, system updates.
• Quality checks: expiry dates, packaging, and labelling.
• Practical exercise: receiving and putaway simulation.

Day 3: Stock Counting, Reconciliation, and Variance Analysis

Objectives:
• Perform cycle counting and full physical stock counts using standard procedures.
• Reconcile counted stock against system records and identify variances.
• Analyse root causes of stock variances and recommend corrective actions.
• Apply inventory adjustments and document changes accurately.
• Understand the impact of stock discrepancies on financial reporting.

• Cycle counting methods: ABC-based, random, and control group.
• Physical count preparation: planning, team briefing, and tools.
• Counting techniques: double counting, blind counts.
• Variance analysis: calculation, tolerance limits, and reporting.
• Root cause analysis: theft, damage, misplacement, data entry errors.
• Inventory adjustments: write-offs, write-ons, and system updates.
• Reconciliation reports and management review.
• Practical exercise: count and reconcile a sample area.

Day 4: Stock Control Systems, Technology, and Reporting

Objectives:
• Utilise warehouse management system (WMS) functions for stock control.
• Generate and interpret key stock reports: slow movers, dead stock, turnover.
• Apply technology such as barcoding and RFID to improve accuracy.
• Monitor stock levels and set reorder points to prevent stockouts.
• Identify and manage obsolete or expired stock.

• WMS overview: modules for receiving, putaway, picking, and shipping.
• Barcoding and RFID: implementation and benefits.
• Stock reports: inventory aging, stock turnover, and exception reports.
• Reorder point calculation: lead time, demand variability, safety stock.
• Managing obsolete stock: identification, disposal procedures.
• System audits: data integrity checks and user access controls.
• Practical exercise: generate and analyse a stock report.

Day 5: Integration, Continuous Improvement, and Assessment

Objectives:
• Integrate stock balance management processes across receiving, storage, and dispatch.
• Implement continuous improvement techniques to enhance stock accuracy.
• Develop a personal action plan for applying learning in the workplace.
• Demonstrate competence through a practical assessment covering all unit standard outcomes.
• Reflect on learning and identify areas for further development.

• End-to-end stock flow: from supplier to customer.
• Continuous improvement: Kaizen, 5S, and root cause analysis tools.
• Key performance indicators: accuracy rate, cycle count completion, variance percentage.
• Developing a stock management improvement plan.
• Practical assessment: stock count, reconciliation, and report generation.
• Feedback session and certification requirements.

This course is made up of exercises and case studies delivered alongside the theory — no separate practical sessions are required to complete it.

Summatives

Each delegate is assessed continuously throughout the course and a final summative test at the end.

Daily Exercises — 30%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 30% to the final total.

Final Test — 70%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 70% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Daily Average 30% + Final Test 70%).
