Description

This course equips HR administrators with the essential skills to manage employee records, process payroll, and ensure compliance with South African labour legislation. Participants will learn to apply HR policies and procedures effectively within a corporate environment.

Course Outline

Day 1: Introduction to HR Administration

Objectives:
• Understand the role and scope of HR administration in an organisation
• Identify key HR administrative functions and responsibilities
• Recognise the importance of confidentiality and ethics in HR
• Demonstrate knowledge of relevant South African labour legislation
• Apply basic record-keeping principles

Topics:
• Overview of HR administration and its strategic importance
• The HR administration function: recruitment, payroll, benefits, employee records
• Ethical considerations and confidentiality in HR
• Introduction to the Labour Relations Act, Basic Conditions of Employment Act, and Employment Equity Act
• Types of employee records: personal files, contracts, leave records
• Record-keeping requirements and retention periods

Day 2: Employee Records Management

Objectives:
• Create and maintain accurate employee files
• Manage leave records and attendance systems
• Process employee data changes and updates
• Ensure compliance with POPIA when handling personal information
• Use HR information systems effectively

Topics:
• Setting up and organising employee files (manual and electronic)
• Leave administration: types of leave, calculations, and tracking
• Attendance management and absenteeism monitoring
• Data entry and updates in HRIS
• Protection of Personal Information Act (POPIA) requirements
• Auditing employee records for completeness and accuracy

Day 3: Payroll Administration and Benefits

Objectives:
• Understand payroll cycles and statutory deductions
• Process payroll data accurately
• Administer employee benefits such as pension, medical aid, and insurance
• Calculate leave pay, overtime, and other allowances
• Reconcile payroll reports

Topics:
• Payroll fundamentals: gross pay, deductions, net pay
• Statutory deductions: PAYE, UIF, SDL, pension fund contributions
• Administering employee benefits: medical aid, retirement funds, group insurance
• Calculating overtime, shift allowances, and leave pay
• Payroll reconciliation and error correction
• Generating payslips and payroll reports

Day 4: Recruitment and Onboarding Administration

Objectives:
• Manage the administrative aspects of the recruitment process
• Prepare employment contracts and offer letters
• Coordinate onboarding and induction programmes
• Maintain recruitment records and track applicant data
• Ensure compliance with employment equity reporting

Topics:
• Advertising vacancies and managing applications
• Shortlisting and interview scheduling
• Drafting employment contracts and offer letters
• Onboarding checklists and induction coordination
• Employment Equity Plan reporting and record-keeping
• Maintaining a recruitment database

Day 5: Advanced HR Administration and Integration

Objectives:
• Handle disciplinary and grievance administration
• Manage termination and exit procedures
• Integrate HR administration with other business functions
• Use HR metrics for reporting and decision-making
• Apply continuous improvement to HR administrative processes

Topics:
• Disciplinary hearings: documentation and record-keeping
• Grievance procedures: logging, tracking, and resolution
• Termination processes: notice, final pay, certificates of service
• HR reporting: turnover rates, absenteeism, headcount
• Integration with finance, operations, and management
• Process improvement and automation in HR administration

Practicals

16 hours of practicals To be conducted online or on-campus or in-house
Overview

The practicals component provides hands-on experience in managing employee records, processing payroll data, and administering recruitment and onboarding documentation. Learners will use simulated HR systems and templates to apply concepts learned in theory sessions.

Practical Activities
  • Employee File Management — Learners create and populate employee files with sample data, ensuring compliance with record-keeping requirements and POPIA. (4h)
  • Payroll Processing Simulation — Using a payroll spreadsheet, learners calculate gross pay, deductions, and net pay for sample employees, and generate payslips. (4h)
  • Recruitment and Onboarding Administration — Learners draft job adverts, screen applications, prepare employment contracts, and complete an onboarding checklist. (4h)
  • Disciplinary and Exit Process Administration — Learners role-play a disciplinary hearing, documenting charges and outcomes, and process a termination including final pay and certificate of service. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).

  • Each certificate is a branded PDF with the delegate's name, the course title, the unit standard ID, NQF level, credits, and the date of issue.
  • You can download or print your certificate from your LMS dashboard at any time after issue — there's no reissue fee and no expiry date.
  • If you scored under 50% you can sit the final test again at the next scheduled session at no extra cost.
