Description

This course equips learners with the practical skills and knowledge required to perform core HR administration functions in a corporate environment. It covers employee record management, leave administration, recruitment support, and compliance with South African labour legislation.

Learning Outcomes

  • Design basic HR reports such as leave balances, headcount, and turnover summaries.

Course Outline

Day 1: Foundations of HR Administration

Objectives:
• Understand the role and scope of HR administration in an organisation
• Identify key HR policies, procedures, and legislative requirements
• Describe the employee lifecycle and administrative touchpoints
• Recognise the importance of confidentiality and data protection in HR
• Explain the structure of HR records and filing systems

• Introduction to HR administration and its business value
• Overview of South African labour legislation (BCEA, LRA, EE, SDA)
• Employee lifecycle: from recruitment to exit
• HR policies and procedures: purpose and types
• Confidentiality, POPIA, and ethical handling of employee information
• HR documentation: forms, templates, and records
• Filing systems: manual and electronic
• Introduction to HR information systems (HRIS)

Day 2: Employee Records and Data Management

Objectives:
• Set up and maintain employee files and records accurately
• Capture and update employee data in an HRIS
• Manage leave, attendance, and absence records
• Process new hire documentation and onboarding paperwork
• Apply data quality checks and correction procedures

• Employee file setup: contents and organisation
• Data capture: personal details, contracts, qualifications
• Leave management: types, calculations, and records
• Attendance and timekeeping systems
• Onboarding documentation: offer letters, contracts, induction checklists
• Data quality: verification, audits, and error correction

Day 3: Payroll Administration and Benefits Processing

Objectives:
• Explain the payroll cycle and key inputs (hours, earnings, deductions)
• Calculate basic payroll components: gross pay, deductions, net pay
• Administer employee benefits: medical aid, pension, UIF, SDL
• Process payroll changes: new hires, terminations, adjustments
• Reconcile payroll data and resolve discrepancies

• Earnings types: basic salary, overtime, allowances, commissions
• Statutory deductions: PAYE, UIF, SDL
• Voluntary deductions: medical aid, retirement funds, garnishees

Day 4: Recruitment, Selection, and Onboarding Administration

Objectives:
• Administer the recruitment process from requisition to offer
• Screen applications and schedule interviews
• Prepare employment contracts and offer letters
• Coordinate onboarding activities and induction programmes
• Maintain recruitment metrics and records

• Recruitment requisition and job posting procedures
• Application tracking and shortlisting
• Interview scheduling and correspondence
• Reference checks and background verification
• Offer letters and employment contracts: legal requirements
• Onboarding checklists and new hire orientation
• Induction programme coordination

Day 5: Compliance, Reporting, and HR Administration Integration

Objectives:
• Comply with statutory reporting requirements (EEA2, WSP/ATR)
• Prepare HR reports and dashboards for management
• Manage disciplinary and grievance administration
• Coordinate training and development records
• Integrate HR administrative processes across the employee lifecycle

Practicals

12 hours of practicals To be conducted online or on-campus or in-house
Overview

The practicals reinforce theoretical knowledge through hands-on exercises using sample employee data, HRIS simulation, payroll calculations, and document preparation. Learners will complete real-world tasks such as setting up employee files, processing payroll inputs, and generating reports to build competence in daily HR administration.

Practical Activities
  • Employee File Setup and Data Capture — Learners set up physical and electronic employee files using provided templates, capture personal and employment data, and verify accuracy. (2h)
  • Leave and Attendance Processing — Learners process leave applications, update attendance records, and calculate leave balances using a simulated system. (2h)
  • Payroll Calculation and Payslip Generation — Learners calculate gross pay, deductions, and net pay for sample employees, then generate payslips and reconcile totals. (3h)
  • Recruitment and Onboarding Documentation — Learners draft a job advertisement, screen applications, prepare an offer letter, and complete an onboarding checklist. (2h)
  • HR Reporting and Compliance Documentation — Learners compile an Employment Equity report summary and a Skills Development report using sample data, and create a simple HR dashboard. (3h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).

  • Each certificate is a branded PDF with the delegate's name, the course title, the unit standard ID, NQF level, credits, and the date of issue.

  • If you scored under 50% you can sit the final test again at the next scheduled session at no extra cost.
