Description

This course equips learners with the principles and practices of electronic records management, including creation, maintenance, disposal, and compliance with legal and regulatory requirements. Participants will gain skills to manage electronic records efficiently, ensuring authenticity, reliability, and accessibility throughout the records lifecycle.

Target Audience

Records managers, administrative staff, information officers, and anyone responsible for creating, storing, or disposing of electronic records in a corporate or government environment.

Prerequisites

None — open enrollment. However, basic computer literacy and familiarity with office software are recommended.

Course Outline

Day 1: Introduction to Electronic Records Management

Objectives:
• Understand the principles and importance of electronic records management.
• Differentiate between records, documents, and data.
• Identify key legislation and standards governing ERM in South Africa.
• Recognise the lifecycle of an electronic record.

Topics:
• Definition of records and electronic records.
• Benefits of ERM: efficiency, compliance, risk mitigation.
• Overview of relevant legislation: PAIA, ECTA, POPIA.
• Standards: ISO 15489, SANS/ISO 30300 series.
• The records lifecycle: creation, use, maintenance, disposition.
• Roles and responsibilities in ERM.

Day 2: Designing an ERM Framework

Objectives:
• Develop a classification scheme for electronic records.
• Apply metadata standards for recordkeeping.
• Establish retention schedules and disposition policies.
• Understand the components of an ERM policy.

Topics:
• File plans and classification systems.
• Metadata elements: Dublin Core, ISO 23081.
• Retention scheduling: legal, operational, historical requirements.
• Disposition: destruction, transfer, archiving.
• ERM policy development: scope, roles, procedures.
• Integration with organisational workflows.

Day 3: Electronic Records Capture and Storage

Objectives:
• Implement capture methods for born-digital and digitised records.
• Evaluate storage solutions and formats.
• Ensure authenticity and integrity through checksums and audit trails.
• Manage version control and document repositories.

Topics:
• Capture techniques: scanning, auto-capture, workflow integration.
• Storage media: cloud, on-premises, hybrid.
• File formats: PDF/A, TIFF, XML, preservation formats.
• Digital signatures and encryption for authenticity.
• Version control and check-in/check-out processes.
• Audit trails and logging.

Day 4: Access, Retrieval, and Security

Objectives:
• Design access controls based on user roles.
• Implement search and retrieval strategies.
• Apply security measures to protect records.
• Plan for disaster recovery and business continuity.

Topics:
• Access control models: RBAC, ABAC.
• Search technologies: full-text, metadata, indexing.
• Security measures: authentication, authorisation, encryption.
• Data privacy compliance with POPIA.
• Backup strategies and offsite storage.
• Disaster recovery planning for electronic records.

Day 5: ERM Implementation, Audit, and Continuous Improvement

Objectives:
• Plan the implementation of an ERM system.
• Conduct an audit of ERM practices.
• Identify improvements and manage change.
• Understand emerging trends: AI, blockchain, cloud ERM.

Topics:
• Implementation project plan: phases, resources, training.
• Auditing ERM: compliance, effectiveness, gaps.
• Metrics and reporting for ERM performance.
• Change management strategies.
• Emerging trends: AI for classification, blockchain for integrity.
• Final assessment and course wrap-up.

Practicals

16 hours of practicals To be conducted online or on-campus or in-house
Overview

Hands-on practicals are integral to this course, allowing learners to apply ERM concepts in simulated environments. Learners will classify records, configure metadata, implement access controls, and conduct a mini-audit, reinforcing theoretical knowledge with real-world tasks.

Practical Activities
  • Practical 1: Classification and Metadata Assignment — Using a sample ERM system, learners classify a set of electronic records according to a given file plan and assign standard metadata. (4h)
  • Practical 2: Capture and Storage Configuration — Learners configure a scanning profile, capture digitised records, and set up version control in a document repository. (4h)
  • Practical 3: Access Controls and Security Implementation — Learners set up role-based access controls, apply encryption to sensitive records, and test retrieval permissions. (4h)
  • Practical 4: ERM Audit and Reporting — Learners conduct a simulated ERM audit using a checklist, identify non-compliance, and generate an improvement report. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).

  • Each certificate is a branded PDF with the delegate's name, the course title, the unit standard ID, NQF level, credits, and the date of issue.

  • If you scored under 50% you can sit the final test again at the next scheduled session at no extra cost.
