This course equips learners with the knowledge and skills to manage electronic records effectively within a corporate environment. It covers the principles of electronic records management, including creation, storage, retrieval, and disposal, in compliance with relevant legislation and standards. Participants will learn to implement ERM systems that ensure authenticity, reliability, and accessibility of digital records.

This course is designed for records managers, administrative professionals, information officers, and any staff responsible for creating, maintaining, or disposing of electronic records in a corporate or government setting.

Course Outline

Day 1: Foundations of Electronic Records Management

Objectives:
• Define electronic records and their lifecycle
• Understand the legal and regulatory framework for ERM in South Africa
• Identify the key components of an ERM system
• Explain the difference between records and documents

Topics:
• Introduction to records management principles
• The records lifecycle: creation, maintenance, use, and disposition
• Legal and regulatory requirements: PAIA, POPIA, and relevant standards
• Overview of electronic records vs. paper records
• Key components of an ERM system: metadata, classification, and retention schedules

Day 2: Classification, Metadata, and Retention

Objectives:
• Develop a file plan for electronic records
• Apply metadata standards to ensure record authenticity
• Implement retention schedules and disposal procedures
• Understand the role of taxonomies in records management

Topics:
• Creating and managing file plans and classification schemes
• Metadata standards: Dublin Core, ISO 23081
• Retention schedules: legal requirements and business needs
• Disposal procedures: deletion, archiving, and destruction
• Taxonomies and controlled vocabularies for consistency

Day 3: ERM Systems and Technologies

Objectives:
• Evaluate different ERM software solutions
• Understand system architecture and integration requirements
• Implement security controls and access permissions
• Manage version control and document check-in/check-out processes

Topics:
• Overview of ERM systems: EDRMS, ECM, and cloud-based solutions
• System architecture: storage, indexing, and retrieval
• Security controls: user authentication, encryption, and audit trails
• Version control and collaboration features
• Integration with other business systems (e.g., email, ERP)

Day 4: Managing Digital Records and Email Archiving

Objectives:
• Apply best practices for managing born-digital records
• Implement email archiving strategies
• Manage scanned documents and digital images
• Ensure long-term preservation of electronic records

Topics:
• Managing born-digital records: formats, naming conventions
• Email archiving: policies, tools, and legal considerations
• Digitisation: scanning standards, OCR, and quality control
• Long-term preservation: migration, emulation, and digital continuity
• Backup and disaster recovery for records

Day 5: Governance, Audit, and Continuous Improvement

Objectives:
• Develop an ERM policy and governance framework
• Conduct audits and compliance checks
• Plan for system upgrades and migration
• Foster a records management culture in the organisation

Topics:
• ERM policy development and stakeholder engagement
• Audit trails and compliance reporting
• System migration and upgrade planning
• Training and change management for staff
• Continuous improvement: monitoring and updating ERM practices

Practicals

16 hours of practicals To be conducted online or on-campus or in-house
Overview

Hands-on practicals allow learners to apply ERM concepts in simulated environments. Learners will create file plans, classify records, use metadata, configure an ERM system, and perform audits.

Practical Activities
  • Practical 1: Creating a File Plan and Classification Scheme — Learners design a file plan for a fictional organisation, define classification categories, and assign retention periods. (4h)
  • Practical 2: Applying Metadata and Managing Records in an EDRMS — Using a simulated EDRMS, learners input metadata, check in/out documents, and manage version control. (4h)
  • Practical 3: Email Archiving and Digitisation — Learners archive sample emails using a tool, and digitise paper records with correct naming and OCR. (4h)
  • Practical 4: ERM Audit and Compliance Check — Learners audit a sample ERM system, identify gaps, and generate a compliance report. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).

  • If you scored under 50% you can sit the final test again at the next scheduled session at no extra cost.
