Day 1: Foundations of Institutional Records Management

Objectives:
• Understand the regulatory and legislative framework for records management in South Africa.
• Identify different types of institutional records and their lifecycles.
• Apply basic filing and classification principles.
• Recognise the role of the executive assistant in records governance.

• Overview of records management: definitions, importance, and legal context (e.g., PAIA, POPIA).
• Types of records: physical, electronic, and hybrid.
• Records lifecycle: creation, maintenance, use, and disposition.
• Filing systems: alphabetical, numerical, alphanumeric, and subject-based.
• Introduction to records classification and indexing.
• Roles and responsibilities of executive assistants in records management.

Day 2: Computerised Records Management Systems

Objectives:
• Navigate and utilise a computerised records management system (RMS).
• Create, store, and retrieve electronic records efficiently.
• Apply metadata standards and naming conventions.
• Understand security and access controls in digital environments.

Topics:
• Overview of computerised RMS: features, benefits, and common software.
• Creating and managing electronic folders and files.
• Metadata: definition, purpose, and standard fields.
• Naming conventions and version control.
• Searching and retrieving records using keywords and filters.
• User permissions, access levels, and security protocols.
• Backup and disaster recovery basics.

Day 3: Enhanced Administrative and Communication Skills

Objectives:
• Demonstrate advanced email and calendar management techniques.
• Draft professional correspondence and reports.
• Apply effective time management and prioritisation strategies.
• Use digital tools for collaboration and workflow management.

• Email management: folders, filters, templates, and etiquette.
• Calendar management: scheduling, reminders, and shared calendars.
• Business writing: emails, memos, letters, and reports.
• Time management: prioritisation matrices, task lists, and scheduling.
• Digital collaboration tools: shared drives, project management apps, and video conferencing.

Day 4: Records Retention, Disposal, and Compliance

Objectives:
• Develop and implement a records retention schedule.
• Apply proper disposal methods for confidential records.
• Conduct audits and ensure compliance with policies.
• Handle requests for information and records disclosure.

Topics:
• Records retention scheduling: legal requirements and best practices.
• Disposal methods: shredding, deletion, and secure destruction.
• Records audit: purpose, process, and reporting.
• Compliance monitoring: checking adherence to policies.
• Handling information requests: access, privacy, and disclosure.
• Managing sensitive and confidential records.

Day 5: Integration, Problem Solving, and Continuous Improvement

Objectives:
• Integrate records management with daily administrative tasks.
• Troubleshoot common records management issues.
• Evaluate and improve records management processes.
• Develop a personal action plan for ongoing professional development.

• Integrating RMS with email, calendar, and task management.
• Common challenges: duplicates, misfiling, and security breaches.
• Problem-solving techniques for records management.

Overview

Practical sessions provide hands-on experience with computerised records management systems, enabling learners to apply filing, retrieval, retention, and disposal procedures. These exercises reinforce theoretical knowledge and develop proficiency in using digital tools for records management and administrative tasks.

Practical Activities
  • Setting Up a Computerised Filing System — Learners create a folder structure, apply naming conventions, and classify sample records using metadata fields. (4h)
  • Records Retrieval and Search Exercises — Using a simulated RMS, learners perform searches using keywords, filters, and metadata to locate specific records. (4h)
  • Retention Schedule Implementation and Disposal — Learners apply a retention schedule to sample records, identify records due for disposal, and execute secure deletion/shredding procedures. (4h)
  • Integrated Administrative Tasks with RMS — Learners integrate RMS with email and calendar: save email attachments, link calendar events to records, and manage workflows. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
