Prerequisites

None — open enrollment. However, basic computer literacy and familiarity with office software are recommended.

Course Outline

Day 1: Foundations of Institutional Records Management

Objectives:
• Understand the legal and regulatory framework for records management in South Africa.
• Identify different types of institutional records and their lifecycles.
• Apply basic principles of records classification and filing.
• Use electronic document management systems (EDMS) for basic record keeping.

Topics:
• Introduction to records management: definitions, importance, and legal framework (e.g., PAIA, POPIA, National Archives Act).
• Records lifecycle: creation, maintenance, use, and disposition.
• Classification systems: alphabetical, numerical, alphanumeric, and subject-based.
• Filing and indexing techniques for paper and electronic records.
• Overview of electronic document management systems (EDMS) and their features.
• Hands-on: Creating folders, naming conventions, and saving documents in EDMS.

Day 2: Advanced Computerized Records Management

Objectives:
• Implement metadata standards and version control in EDMS.
• Manage records retention and disposal schedules.
• Use advanced search and retrieval techniques.
• Ensure data security and access controls.

Topics:
• Metadata standards: Dublin Core, ISO 23081, and local requirements.
• Version control and document tracking.
• Retention schedules: legal requirements, disposal methods (destroy, archive).
• Advanced search techniques: Boolean operators, filters, saved searches.
• Access controls: user permissions, audit trails, and security classification.
• Hands-on: Setting up metadata fields, applying retention rules, and running audits.

Day 3: Enhanced Skills for Executive Assistants – Communication and Time Management

Objectives:
• Apply professional communication skills for email, meetings, and reports.
• Use digital tools for scheduling, task management, and collaboration.
• Prioritize tasks and manage time effectively.
• Handle confidential information with discretion.

Topics:
• Professional email etiquette: structure, tone, attachments, and follow-ups.
• Meeting management: scheduling, agendas, minutes, and action items using digital calendars and tools.
• Task management: using software like Microsoft To Do, Trello, or Asana.
• Time management techniques: Eisenhower matrix, Pomodoro technique, and prioritization.
• Confidentiality and data protection: handling sensitive records and communications.
• Hands-on: Creating a meeting agenda, taking minutes, and setting up a task board.

Day 4: Digital Office Integration and Workflow Automation

Objectives:
• Integrate EDMS with other office applications (e.g., email, CRM).
• Automate routine administrative workflows.
• Use collaborative tools for team document sharing and co-authoring.
• Troubleshoot common digital office issues.

Topics:
• Integration of EDMS with email clients (Outlook) and CRM systems.
• Workflow automation: creating approval processes, notifications, and document routing.
• Collaborative tools: SharePoint, Google Workspace, Microsoft 365 co-authoring.
• Troubleshooting: common EDMS errors, backup and recovery basics.
• Hands-on: Setting up an automated approval workflow for leave requests or purchase orders.

Day 5: Strategic Records Management and Professional Development

Objectives:
• Develop a records management policy for an organization.
• Prepare for records audits and compliance reviews.
• Create a personal development plan for continued skill enhancement.
• Present a capstone project integrating all course skills.

Topics:
• Developing a records management policy: scope, responsibilities, procedures.
• Compliance audits: internal vs external, preparing evidence, corrective actions.
• Emerging trends: cloud-based records management, AI in document processing.
• Professional development: certifications (e.g., SAQA-recognized), networking, continuous learning.
• Capstone project: design a records management system for a hypothetical organization.
• Hands-on: Presenting the capstone project and peer feedback.

Practicals

Overview

Hands-on practical sessions are integrated throughout the course to ensure learners can apply computerized records management and executive assistant skills in real-world scenarios. Learners will use EDMS software, office productivity tools, and collaboration platforms to complete tasks such as document classification, workflow automation, and meeting management.

Practical Activities
  • Practical 1: EDMS Setup and Document Management — Learners set up a folder structure, apply metadata, and manage document versions in an EDMS (e.g., SharePoint or Alfresco). (4h)
  • Practical 2: Workflow Automation and Collaboration — Learners design and implement an automated approval workflow for a common administrative process (e.g., leave request). (4h)
  • Practical 3: Executive Assistant Digital Toolkit — Learners use digital tools to schedule a meeting, produce minutes, and manage a task list for a simulated executive. (4h)
  • Practical 4: Capstone Project – Records Management System Design — Learners work in groups to design a comprehensive records management system for a case study organization, including policy, classification, and EDMS configuration. (3h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).

  • If you scored under 50% you can sit the final test again at the next scheduled session at no extra cost.
