Course Outline

Day 1: Introduction to Float Operations and Cash Handling Principles

Objectives:
• Understand the purpose and importance of chip, cash, and coin float operations.
• Identify key terminology and concepts related to float management.
• Recognise the legal and regulatory framework governing cash handling in South Africa.
• Explain the roles and responsibilities of personnel involved in float operations.
• Describe the risks associated with cash handling and basic security measures.

• Definitions: float, till, cash-up, reconciliation.
• South African Reserve Bank regulations and cash handling policies.
• Security principles: segregation of duties, dual control.
• Types of floats: opening float, change float, cash float.
• Cash handling equipment: safes, drop boxes, counterfeit detection.
• Basic documentation: float register, cash count sheets.
• Ethics and integrity in cash handling.

Day 2: Float Preparation and Cash Management

Objectives:
• Prepare accurate floats for different operational needs.
• Apply procedures for issuing and receiving floats.
• Manage cash denominations efficiently to minimise shortages.
• Reconcile cash drawers and identify discrepancies.
• Implement secure cash storage and transfer protocols.

• Float preparation: calculating denominations based on sales forecast.
• Issuing floats: documentation and sign-off procedures.
• Cash handling during shift: tips, voids, refunds.
• End-of-shift cash-up: counting, reconciling, reporting.
• Identifying and resolving discrepancies: overages and shortages.
• Safe drop procedures and cash-in-transit protocols.
• Handling large notes and coin shortages.
• Practical exercise: float preparation and cash-up simulation.

Day 3: Coin Float Operations and Cashless Payment Systems

Objectives:
• Manage coin floats effectively to ensure smooth till operations.
• Operate coin counting and sorting equipment.
• Understand the integration of chip (card) payments with cash float.
• Reconcile chip transactions and manage settlement reports.
• Handle discrepancies between cash and electronic payments.

• Coin float management: ordering, storage, and rotation.
• Using coin counters and sorters: calibration and maintenance.
• Chip card payment systems: POS terminals, contactless, PIN entry.
• Settlement reports: batch closure, transaction reconciliation.
• Reconciling chip and cash totals: balancing the day's takings.
• Dealing with chargebacks and disputed transactions.
• Practical exercise: operating POS terminal and reconciling chip payments.
• Security considerations for chip transactions.

Day 4: Advanced Reconciliation and Reporting

Objectives:
• Perform end-of-day reconciliation for multiple tills and floats.
• Generate and interpret float operation reports.
• Identify and investigate recurring discrepancies.
• Apply corrective actions to improve float accuracy.
• Prepare audit-ready documentation.

• Multi-till reconciliation: combining cash, coin, and chip totals.

Day 5: Best Practices, Compliance, and Final Assessment

• Demonstrate competence through a practical assessment.
• Develop a personal action plan for continuous improvement.

Overview

Practical sessions provide hands-on experience in preparing floats, operating POS terminals, reconciling cash and chip transactions, and resolving discrepancies. Learners apply theoretical knowledge in simulated retail environments to build competence in float operations.

Practical Activities
  • Float Preparation and Cash-Up Simulation — Learners prepare opening floats from a cash vault using correct denominations, then simulate end-of-shift cash-up and reconciliation. (4h)
  • POS Terminal Operation and Chip Reconciliation — Learners operate a POS terminal to process chip and contactless payments, then reconcile chip transaction reports with cash totals. (4h)
  • Multi-Till Reconciliation and Error Investigation — Learners reconcile multiple tills with mixed cash, coin, and chip transactions, including intentional errors to practice investigation. (4h)
  • Float Operation Audit and Final Assessment — Learners conduct a mock float operation audit using a checklist, followed by a comprehensive practical assessment covering all skills. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).
